What are best business practices for paying bills: When should we use a “Quick Check” verses using “Bills and Payments followed by Checks and Payments”?  

Hi, our customer is using Acumatica 2022 R1. Is there any way to create an out of the box approval prior to save the new customers into the system?

From time to time, we finance a customer’s purchase by taking a promissory note. How do we book the promissory note?  How do we book the payments on the promissory note and the interest payments?  How do we show the payment of the related invoice?  Any help would be greatly appreciated. 

Anyone come across this before…When creating a purchase order for a project it updates the commitments as expected, when the PO is receipted in, it updates the actual expense as expected. However when you create the AP bill which has a different amount than the original PO (the vendor has discounted the invoice), the actual amount on the project remains unchanged.Example PO raised for £100 linked to Project1 and Task 1 Commitments on the Cost budget tab and the commitments tab on Project1 are updated with £100 (as expected) The stock is receipted in (the vendor has not sent an invoice at this point), on Project1 on the cost budget tab and on the summary at the top the actual expense is updated with the £100 from the PO (as expected). The vendor now has sent the invoice with a 10% discount and the AP bill is created from the purchase receipt and the discount is added so the AP bill total = £90. When the AP bill is released

If an AP invoice is accidentally booked to the Fixed Asset clearing account, and then either reclassed to an expense instead of the FA clearing account or reversed with an adjustment, the original AP invoice still shows in convert purchases to assets.Is the best way to remove the transaction to mark it as reconciled and process? It seems to remove the transaction from the list, but I’m not sure if there are any other issues that may cause I’m not seeing yet. Or is there another way to remove that transaction from the list so users don’t accidentally convert it to a FA?

ERROR:  The TOMYUM2 project cannot be selected because the MAIN warehouse location specified in the line is not linked to this project. Select another project, or change the warehouse location. 

Currently when you check the box to mark a Vendor as a 1099 Vendor, there is no requirement to fill in the Tax Registration ID. It would be good to have the Tax Registration ID become required to be filled in so it is not forgotten when selecting the Vendor as a 1099 Vendor. 

My Client has customers that are setup with Prepay Terms. Some of the Customers sometimes are with Status: Credit Hold. While the customer is set as Credit Hold and Terms are Prepay, users create a Sales Orders. The order changes to Status On Hold until a Prepayment is entered, then they enter a prepayment/payment and SO Status changes to Open. So far, great… Customer is still on a Credit Status so the user goes and changes it to Active. All of the sudden I get a report that I have an issue in InItemPlan where the Hold field is True (t), while all other tables the status is False (f).There is a known issue and says it was fixed in Build 2021 R1 21.102.0070: 

I am trying to import my initial balances, I have imported a Trial Balance but when I release it, it shows me entirely different numbers in some accounts and will not let me edit anything.  The Journal Transaction that is created is out of balance and there’s nothing that I see that I can do to get my initial balances in the system.This is my import spreadsheet: 

Hi Acumatica Community I need some help please on customer contracts. We have contracts with customers for post go live support every month of 3 hours pre-paid. Then in the for example month of July they only require 2 hours of support. Is there a way to set up Run Billing to in the next month or end of the quarter refund the customer for the support hours they did not use?Overrun hours works perfectly since if they for example used 4 hours in June then in July the extra hour is billed during the billing run. It is just when less support is used that we find Acumatica currently is working on “use it or loose it” set up.  Thanks in advance for the help! 

Has anyone else seen this issue in an upgrade to 22 R1? STAT ledger changed ledger types from statistical (20 R2) to budget (22 R1). This causes an issue where postings can no longer be made on the JT screen due to the ledger change.I’ve opened a high priority case with Acumatica support on this but wanted to see if anyone else has experienced this. I checked our other clients who have moved to 22 R1, and they did not have statistical ledgers setup to verify if others have been affected by this.

Hi all,One of our employees purchased a fixed asset using his personal account. Then he needs to claim expense and record this asset into our book. Here in the expense claim form we only see “expense account”, but we’d like to record this amount into “fixed asset” instead of an expense account. So how do we do that? Is it ok if we just key in an account for fixed asset here? Thanks! 

Hi,In my customer’s instance, the debit account in the details tab of the AP bill is allowed to change when the AP bill is in the Open Status. What is the option to stop this ? Thank you,Dulanjana

I have an import scenario for Trial Balance and an export scenario to process/release all the entries.  My question is, has anyone ever made an export or import scenario that works across entitles?  When you process/release a trial balance entry it takes to you a journal entry which breaks the import/export scenario.  I am looking for a way to automate the whole process. 

Is there a way to reset the cash account beginning balance when there are existing transactions already in the system for that cash account?If so, could it be reset without posting to the GL?Thank you

I was wondering if anyone can help me look behind the scenes and figure out if the Notes on the payment application is tied to any other record?We would like for it to be tied directly to the invoice itself, so notes on the invoice appear on the line item in the payment record. However, the note field on the payment does not appear to be tied to the invoice, the line item on the invoice, the journal transaction, or anything else that I can see. Any thoughts or help on this would be much appreciated!! Notes in question are highlighted in redSee notes active here that do not pass through to the payment 

On the report designer for dunning letters, I need to reference the previous dunning letter dates when the dunning letter level of the dunning letter is > 1.The dunning letter table does not have the information for previous dunning letters. is there a table that can be used where there is a list of dunning letters for the customer? I tried the ARDunningletterList table, but this gave an error - table does not exist.

Hello,     I am writing a report to customers and would like to show the AR line amt and line taxamt.however,  The ARTran.TaxAmt is empty, and also the ARTax.TaxAmt is empty.   We do have TaxAmt on TaxTran, but is is not single line, it is the whole AR document.  Can somebody tell me where I can get the line TaxAmt directly?  Or I have to calculate it by myself?

Is it possible to attach an additional document when emailing customer statements ? For example, to send out a promotional flyer pdf with a particular statement run ? Thanks !

Hello Team,I have been working on AP side Bill Payment Processing. There is a scenario in which the Bills are created with different Vendor Name and get released and now while making the Payments I need to apply the same Bills using “Document to Apply” for a different Vendor. eg. I have Bill Payment with the Vendor Name “XYZ” and Bill has been created with the Vendor name “ABC”. How to apply Bills of different Vendor Name to the Payment ?. Does Parent child relationship will work here? 

Curious is there are any other companies who has customers that sometimes bill direct to customer and sometimes bill a specific billing account (depending on who is calling in the service request). and also wondering how you have it set up to pull tax zone from customer that service happened at, but pull rates and tax exemption status from billing account? ex. we service “Gas Station A”, when station A calls us, we collect payment (using labor rates and markups set on A as well as submit tax to A’s location taxing authority) BUT if Fuel Supplier B calls us, we bill Fuel Supplier B for the services performed at station A. (using labor rates set on B, but if B is tax exempt, we need to not charge tax on the invoice, but also need to know its an exempt sale from A’s tax zone.
