We've been Jamis Prime Users for 5 years now, but in all that time, other than per diem tables, we had yet to explore Import Scenarios. It was easy to push them aside to learn later, since I was so busy with other tasks. But sometimes an invest now can payoff later and, while I am still very much a beginner, I am kicking myself for taking so long to finally take the time to start learning and using them.The hardest part was getting a working template to make the data provider, and setting up the Import Scenario itself. But once you've invested the time in setup, future usage is a breeze. I watched a two-part Jamis class, and still needed a bit of assist, but I learned so much with each step. Since we started using them, Business Events have played a large role in the administrative side of our company.  Sending out late approval reminders, automating import scenarios to help with security, and notifications going out to inform employees of data integrity errors are a few of the use cases that we have found for business events. I wanted to share how I created one of our most used Business Events. Our most common use for Business Events is ‘Late Approval Reminders’.  Previously, we started running into issues where approvals during the purchasing processes weren’t getting done in a timely manner, which was slowing everything down. The Purchasing team didn’t have the bandwidth to keep an eye on what was still pending approval, then trying to hunt the employee down to get the approval completed, before often learning the employee is out of office and that the item needed to be rerouted for approval again.To sum up the lengthy tutorial, a generic inquiry

We’ve noticed that the total funded amount from subcontracts populates in the Job Costs Transactions Summary, “total burdened cost amount” column. Which makes sense but also skews the numbers as option years pass.Also, in the Job Costs Transactions Detail, the subcontract populates (& decrements as bills are entered), but when the Subcontract is closed, the subcontract funding entry disappears but all the decremental SC entries remain, which makes the detail report not add up correctly when exported to Excel unless you filter to remove all the SC source lines.When do you find it best practice to close subcontract agreements? We often keep contracts open for years as they get wrapped up, but I’m not certain we want to treat subcontracts the same if it affects the burdened cost. Or is it a good idea to de-obligate funds via change orders as new options come along, just so the total burdened cost is more accurate?

Did you know labor doesn’t have to exactly match your payroll timing? Something we decided during implementation was to process labor weekly (instead of matching our biweekly payroll) and to not process labor in summary. This has enabled us to make our billing much more accurate and timely, since Billing only has to wait a maximum of 7 days for posted labor. And we’ve been able to provide much more accurate, in-depth reports to our program managers and our customers. 

Our company is working on internal controls and streamlining some processes and one of the ones that came up was a vendor-monitoring system to track contract renewal dates, department which uses the vendor, ownership of the account, etc. At first, leadership wanted to make a listing in Sharepoint that would have required a lot maintenance, not to mention it would have been double-entry since we already maintain a vendor list within Jamis. So we convinced them we could customize the vendor list in Jamis by adding the required user-defined fields under Attributes. The best part is each attribute can be customized - some as text fields, a calendar, a list to select from, even a list with multiple selections. Then all that was needed was to add the fields to the Vendor Inquiry, and we have the resource the executives needed without having to maintain two lists in separate places.

Is it best practice to uncheck the Active box for old per diem schedules or should it not matter since the start/end dates dictate which one populates on new expense reports anyway? (The problem with making them inactive is when you go to look at old expense reports, the location description disappears in the upper section and you have to go to the per diem tab to see it.)

Hi — we’re exploring a 9/80 schedule (every other Friday off) and want to use the “split Friday” approach so each workweek still totals 40 hours. JAMIS Prime runs on Acumatica, and I can’t find a public example of JAMIS clients doing this. Has anyone here implemented 9/80 in JAMIS Prime (which screens they used, e.g., Timesheet Schedule / Time Card Profile / Overtime Rule), or can share a short description of how you configured it? Thank you!

We recently discovered that terminated employees with their status set to Inactive (we do that for never started hires or employee’s that have been gone several years), still appear in A/P Bill Entry because apparently their “vendor status” is still active. But I can’t find anything under the employee setup to change that. Any suggestions? Employee setup: Vendor list:

The Gross billing amount for the project is based on the billing type. The Billing Type indicates how the system calculates billing and revenue bill amounts for project.  This is why the Gross Amount field is cumulative. In the example below, the Project is a T&M and the Bill for Overruns is checked. This means it ignores funding and bills everything. If not checked, it will only bill within funding.Gross Amount = Prior amount + Sales amount - Prior Overruns (2,061,629.80 + 61,719.80) - 61,629.80 = 2,061,719.80 Note: The Gross amount and invoice is also affected by the project's Limit Extract to Funded Limit check box on or off. 

It’s a simple hack but did you know you can rename menu items for clarity? This is especially useful when you have multiple menu items named the same thing, but they are actually different forms/reports. (Yes, you can hover over the item and see if it has a different ScreenID, and pay close attention to the category, but not every user knows to pay attention to that, plus it’s an extra step.)For example, back in JAMIS 7, the default was to have “Close Financial Periods” be the name for several of the forms - Banking, A/P, A/R, etc. This caused confusion because our team didn’t realize they were different forms. They would check for Unreleased Documents in one, assume there were none anywhere, and then hit issues later because they had only checked A/P, not A/R, and so on. So we renamed them. Hi everyone!One of the most underutilized personalizations in JAMIS Prime is Side Panels!  Side Panels are available starting in v7.0 and evolve even more in v8.0.  In its simplest form, a side panel allows you to view a form from an entry list.  The most common example I’ll share is for AP Bills and Adjustments.  When you navigate to AP Bills and Adjustments you first see the AP Bills and Adjustments entry list.  If you configure this generic inquiry to include a Side Panel you’ll be able to view the full AP Bill on the side of the screen as you make your way through the AP Bills and Adjustments list.  Screen shots are included below.  While we used AP Bills and Adjustments for this example it can be done on any generic inuiry to include the AR Invoices and Memos entry list, the GL Journal Transactions entry list, etc.If you need more support with this or would like more information on how side panels evolve to include data entry forms you can review the product relea

In this business case I want to dashboard a doughnut chart that displayes the product versions that customers are on, but we store the data as a long string (i.e. 8.0_20250306.1 Update 12) and for the chart I only want the first three places.  By using the Substring function I was able to add a column with just 8.0 and this made the chart and Legend much more manageable in the dashboard.Here's how:Add a calculated field to your Generic Inquiry. In the calculated field's formula, use the Substring(str, start, length) function. str: This is the field containing the data you want to segment, such as an Account or Subaccount field. start: This is the starting position of the segment you want to extract within the field, counting from the left (first character is position 1). length: This is the length of the segment you want to extract. 

Generic Inquiries (GIs) in JAMIS Prime v8.0 allow for conditional formatting of rows, enabling users to highlight rows based on specific criteria. Hello All,I have prepyament entry but it didn’t applied the bill. Also, the bill is created and closed so how to clear out prepayment. it’s still open status. 

We currently run Prime Version 8, Update 12Question 1: The Approvals screen (EP503010) doesn’t allow approvers to see the timesheets that they have already approved. Sometimes they need to reject after approving  (same day, prior to processing), which they can do on the Timesheet Approvals screen (WM3033JM) on the All Records tab. Will this be available on the Approvals screen (EP503010) when the Timesheet Approvals screen (WM3033JM) is removed in a future version?Question 2: Is there a way to scroll through timesheets pending my approval instead of having to go back to the list in between each one?Thanks for your help,Dianne AguileraIMS, Inc.

In our current version of Jamis Prime, the workflow on the Vendors screen (AP303000) is read only. I would like to create a custom workflow for vendor approvals. Is there a configuration I can select that would allow for me to extend the workflow to include our requirements? 

Is there a way to wrap the text for the titles of the menu items in workspaces?  If you look at the example below, several of the listed menu items seem to be duplicates, but are actually similar pages with longer names that are different towards the end. Is there a way to wrap the text, or expand the ‘column’ sizes within the workspaces?
