Micro Discussions - Union Construction and Non-Union Construction - NEW

NEW - Construction Micro Discussions - Union, Non-Union This idea stems from conversations with customers and product teams looking for a way to have discussions around more specific sets of topics. Two of the areas were: Union Construction and Non-Union Construction. We have decided to pilot these two for now but plan to expand to other topic areas and forums. So how does it work? If you want to have a discussion (or ask a question) that’s Union or Non-Union related, just use the Tags to add Union + Construction or Non-Union + Construction. Lien Waiver Through Date

Issue/Current Behavior: When Compliance Preferences (CL401000) > Through Date = Posting Period End Date, the lien waiver Through Date = end of the posting period of the Payment. Expected Behavior: When Compliance Preferences (CL401000) > Through Date = Posting Period End Date, the lien waiver Through Date = end of the posting period of the AP Bill. Source: Compliance Preferences (CL301000) > Through Date Posting Period End Date (default): The lien waiver is applicable through the last date of the posting period of the AP bill, which is specified in the Post Period box on the Bills and Adjustments form. Work Around: Replace Through Date with a formula to calculate the date of the last day of each month.

Material on Hand Payment to Subcontractor

How are people handling Material on Hand (stored Material) payment to a subcontractor? If I pay the subcontractor through their subcontract, it shows they completed units, which really isn’t correct. You can override the amount box on the invoice, but I am afraid that would cause issues down the line and be cause for missed payment and confusion from subcontractors and office staff. My proposed solution is to create a change order for 0 units and LS cost. This will show an overpayment of planned units on that line, and when we are actually paid (and stored material reduced) it will back down to zero dollars for the MOH line and positive on the actual work completed line. Work In process for over under billing

We are 2.5 months in on the process of design with our business partner and looking to chat with another contractor regarding loading the prior year balances for projects in progress at end of year, so your current year over/under billing calculates properly. What level for the FYE did you need to load to ensure the current year activity was properly reflected on your work in progress and completed projects schedule to reconcile to your financial statements. Thanks in advance, we want to do the level necessary, but don't want to overcomplicate things if it isn't needed. This is my first post. i hope this is appropriate to pose this question here. Project Change Order Qty Not Showing on the Revenue Tab/Proforma Invoice

Good day, The user entered a CO with a quantity of 1 and an amt. However, the Task associated with the non-stock item showed only the amount. When we ran the Project Billing the invoice only showed the amount without a quantity so the invoice was incorrect by the amount. I can’t see why the issue that caused the issue. the CO was correctly entered. See the Revenue Tab below. The item is non-stock. Is this a setting issue? Preference. Billing Method? We need to revise the invoice. Thank you.

What is the difference between PMTran.Date and PMTran.TranDate?

Does anyone know what is the difference between the PMTran.Date and PMTran.TranDate? The PMTran.TranDate is not visible to user out of the box and is defaulted to the BusinessDate. User can enter and edit PMTran.Date though. So, the question is what the purpose of PMTran.TranDate is when it is not available to user?

Negative quantity in a subcontract line item

Hello, I am trying to put a negative quantity in a subcontract line item, but it errors out. Anyone have a work around for this that doesn’t require a debit adjustments. I am trying to keep all the details on one invoice. We create the invoice for subcontractors and tie them off to each pay applications. If we create multiple invoices it creates confusion. I found I can put a negative dollar value which makes the $ side work, but i don’t think it will work on the total qty side. Thanks,Jeremy

Disappearing Project x on PO data entry

Hi, a client is running 23.210.0017 and is having a strange behavior in PO entry: The default project (X) disappears from the field when a GL account associated with an Account Group is entered in the Account field. In production, when the project is put in again, the subaccount field empties and has to be reentered to get all three to be complete. If a valid project is entered, no issue. If a GL account unassociated with an account group is entered, no issue. I ran it in a local instance with no customizations published and the only change was the subaccount didn’t disappear. We tested it in an more recent instance with sales demo data and it didn’t occur. I don’t know if it’s a config issue, or a glitch?

Using Acumatica Compliance for Department of Transportation (DOT) Requirements

I am posing this as a question to see if there is anyone who is using Acumatica Compliance to meet DOT requirements. Use case is a field service company, approximately 250 trucks and crews. I do not have all of the specifics, and I am learning about the requirements at this point, some of the requirement areas are: Driver Certifications DOT Records for Fleet DOT Driver Maintenance MVR Drug Screen Phyicals + may be others Some of these items are documents with occurence date and/or expiration date. I am also certain that there would need to be some level of reporting required. There is a DOT software in place today but the desire is to use Acumatica if it is feasible. The feedback I am seeking is as follows: Experience shares from SME’s knowledgealbe of DOT requirements Usage of Acumatica compliance for DOT requirements Gaps that have to be covered that are not available in Acumatica Or straight up not a good fit and bad idea Thank you in advance.

Error in importing Rate tables using Import Scenarios

Hi everyone, I’m trying to import rate tables using the import scenario and getting the following error: I have configured the Sequence for each Rate Table and Rate Type under the Rate Lookup Rules screen. Note: The same import scenario worked for a client on 24R1, but I'm experiencing this error on 24R2. I've attached the XML file for the import scenario I'm using. Can anyone share how they get a zero dollar pro forma invoice on a project if it has an on demand billing period? And how you create your AIA invoice showing all retainage released on invoices? Thank you!!

Project WIP Report

i.m currently on an older version of Acumatica, testing in the sandbox for version 2024R1. I am using the Construction module and crated an invoice for a project. The invoice appears in all of the modules correctly, however, the issue i am having is with the Project WIP Report and Project WIP Detail Report. The Project WIP Report headings Revenue Recognized and Billings in Excess of Costs is showing the correct amount but the Period Billings and Billings to Period are showing credit amounts. In the two test scenario billings created and posted for the two projects, there were no debit or credit memos to cause a credit balance. It appears the credit balance is equal to the tax amount on each billing. In reading through the notes this is a known problem after the 2023R1 release. The proposed solution to run Recalculate Project Balances doesn’t seem to be working. Any ideas as to whatelse i could try?

Project budget vs actuals inquiry based on the new 25R1 reporting capabilities

Dear community! This customization package is applicable to Acumatica 25R1 and later versions. The package includes a generic inquiry that demonstrates the new project & construction reporting capabilities. The inquiry is provided “as is”. After publication of the customization package, in order to view the data for the existing projects, you need to run the recalculate project balances process. This customization package contains 3 generic inquiries. Two of them are used in the third generic inquiry “Project Bdg vs Actuals Through Date”, which gets added to the menu once you publish the package. This generic inquiry allows the user to see the date-through actuals and review the budget performance for a specific date (as the screenshot below illustrates). Remove dashes from ID in Acumatica Report - Report Designer

Hello, Our project IDs have - between numbers and I want to display them on a report designer report without the dashes. Example, 25-36-010 would display as 2536010 in the report. Is there a way to do this with a formula in a report? The current formula is : ='REQUEST FOR INFORMATION # '+[RequestForInformation.ProjectId]+'-'+[RequestForInformation.RFIID_Attributes] I need to keep the first and last expression, but make it so the Project ID only displays numbers and not dashes. Thank you!

payment from customer with backcharges

I have received a check from a customer and there are a couple of back charges listed on the check stub that need to be applied to make the payment amount show correctly. I have attempted to do a credit adjustment but that does not balance the transaction. I was told to process the credit adjustment against an open invoice but that does not help me out either when I need to apply that amount back into the payment somehow. What am I missing here?

Appears to be a bug in Inventory Adjustments with Project-specific inventory

A positive inventory adjustment made directly to a project/task hits the project ledger as a negative qty/cost on the project ledger…. everything else in the GL and IN modules appears correct, but the project ledger is wrong. the workaround it to do the adjustment to project X (this avoiding the incorrect project transaction) and doing a transfer into the project… but in current release of Acumatica (22R1 and prior) this doesn’t completely solve the issue from a reporting standpoint, since transfers still don’t hit the project ledger at all…. would be nice to have that fixed btw… I have a business event setup to properly create a project transaction after the transfer. But this seems to be a legit a bug unless I’m missing something obvious… -Matt

How to enforce correct pairing of expense items with job costing on expense receipts?

Use case: We have some expense items configured to post to job-related GL accounts and others configured to post to G&A GL accounts. How can we enforce the correct pairing of these expense items with projects on expense receipts? Scenario 1: A user creates an expense receipt for the purchase of job materials and enters an expense item that posts to a job-related GL account. How can we make the entry of Project/Project Task/Cost Code required for this scenario and prohibit entering Project X - Non-Project Code? Scenario 2: A user creates an expense receipt for the purchase of office supplies and enters an expense item that posts to a G&A GL account. How can we force the entry of Project X - Non-Project Code?

Retainage on a Payables Prepayment Request created from a PO

We deal with quite a bit of prepayments (actually milestone payments on long lead items) in our business and in testing the prepayment process I have noticed that I am unable to apply retainage to a prepayment request. Is there a process for being able to do this? Is there a fix or enhancement that is coming? We are currently on 2023R2 but planning on upgrading to 2025R1 when available. Since it is related, I have also seen where it is not possible to apply retainage to a foreign currency PO/Bill. Is there a roadmap for including this functionality?

Hello all, Can anyone let me know if there’s a specific field where I can find the original cost of the subcontract? In the above screenshot, the ext cost column get updated if there’s an increase/decrease in the amount.

Ability to alter the header of the AIA with other tables than tables provided

We have had requests from clients to add information to the header of the AIA Report but are unable to connect the tables due to the way the report is designed. One example was to add the Primary Contact from the Customer screen which does not work. This is due to the way the report is structured. You can only use the available tables because the report was designed to not edit beyond the available tables. This should have been an Idea and I am adding as an Idea.
