Releasing the Latest Pro Forma Invoice When Previous Ones Are on Hold

Hi,

I have a situation regarding the release sequence of pro forma invoices and would appreciate some clarification.

Here is the scenario:

  • Pro Forma 1: Large lump-sum amount(Progressive) (still pending client acceptance)

  • Pro Forma 2: Extra work (T&M) currently under discussion with the client

  • Pro Forma 3: Large extra T&M amount that has just been accepted by the client

  • Pro Forma 4: Newly created

All of them are currently on Hold.

Since Pro Forma 3 has now been approved by the client, I would like to release it so we can proceed with invoicing. However, Pro Forma 1 and 2 are still under discussion and cannot be released yet.

Is it mandatory to release pro forma invoices strictly in the order they were created?
If so, what would be the recommended approach in this type of situation where earlier pro formas are still pending client approval but a later one is ready to bill?

@raphrf No, pro forma invoices do not have to be released in the order you created. you can release Pro Forma 3 first as long as it doesn’t use the same budget or progress billing as the earlier ones.

Hi, we have extra in time and material , not only progressive. It ask to release the previous AR invoice related to the first proforma

“Pro Forma documents should be released in the sequence they were created”

ProFormas are progress billings and build upon one another.  it sounds like you are not using it this way.  if this is your regular method of operations, consider working with the business advisor to create a workflow.  If this is a single contract proforma invoicing / progress billing makes sense.  Are you using change orders or change order requests for your T&m tickets.  Change order requests upon approval would then turn to a change order and then add to your proforma.  

if you are using the above method, i would void the Proformas and use #3 as Progress billing #1 get it out and posted to ar.  Then resubmit the %age of completion on lump sum as billing #2 based on approved quantities % complete.  Note there typically is a standard turnaround time int he contracts for this process.  once approved then take off hold and process.  Lastly the T&m tickets not approved yet are still a cor until agreed with client.
