Field Service

Hello, Many of our customers require before and after pictures. Our technicians attach these pictures to an appointment.  When emailing the appointment invoice, there is no way to attached pictures or any other required documents with the invoice email.  We have to download the pictures and documents from Acumatica to our computer, and then copy them from our computer to the Acumatica-generated email as attachments.  It is very cumbersome and time consuming.  Another option might be to imbed the pictures documents on the invoice document.  I have seen invoices from other software formats that allow for imbedding pictures and documents.  This option our preference.  This would allow us to see the pictures and documents when we open the invoice instead of having to go to the appointment for the pictures and documents. Does anyone have suggestions on how to include pictures with an invoice..either imbedded in the invoice or as an attachment?Best, Gail

Hello all, Has anyone used browser version of Acumatica to collect signature? Like running the browser version on iPad then collect signature for DFR or Appointments?

We would like the ability to expose the Calendar Board to the Mobile App so we can view current staff availability when we have emergency jobs.

We are currently using a REST API to import our images for stock items. But when we do, they show up on the second tab of the ImageURL field. Does anyone know why/how we can avoid this? This now makes our report look like there is no image within a stock item profile.Image 1: Shows no image. Image 2: After clicking Ctrl →, this is where we see the image.

I am creating a GI that gives me service orders that were created on Saturday and Sunday or after 4pm on weekdays. What do I use for filters??? I tried @weekstart+5 and @ week start+6 to get Saturday and Sunday but it doesn’t pull anything.I don’t even know where to start for the after 4pm on weekdays.Help!?

We are just starting to configure a site for a customer that will be using service management, project management and inventory. Our service order type is set to generate project transactions upon invoice Our projects will be percentage completion billed When a service order appointment is created with inventory lines, and is invoiced, Acumatica creates an IN transactions to reduce inventory (this seems correct). However, the inventory transaction that appears on the project has no quantity or cost related to it. So while inventory is correct or job/project has not absorbed the inventory cost and is therefore incorrect. It seems silly to me that a service order tied to a project would not update the actual cost of the inventory to the project system. Am I missing a setup/configuration or perhaps a business process work around?I did see that there was this:AC-256292: If in the Generated Billing Documents box on the General tab of the Service Order Types (FS202300) form, Project Transacti

What is the best way to record and track employee time off so that it not only flows through payroll but also onto the appointment/scheduling board?  Any options other than creating an appointment or work order and scheduling everyone through that?

Is there a way to restrict who can re-open service orders that have been billed and closed? This will apply to appointments as well.

I was trying to use the Import Scenario with no luck; I must be missing something.

Having an issue when creating creating an Service Billing. Item used in the service are non stock service items but getting an error line Lot or Serial not assigned. Error: Inserting 'AR Transactions' record raised at least one error. Please review the errors. One or more lines have unassigned Location and/or Lot/Serial NumberBut only service item used in this appointment. Customer recently upgraded to 24R2.

The Staff Calendar board and Calendar board give a good illustration on Staff members not assigned to appointments for the day.Appointment Summary provide information on Appointments and can be filtered per Staff member. How do I get the field service staff members per day that has not been assigned to any appointments out in a GI

Hi,In appointments, in the log tab, we have the following line statuses:In Process Paused CompletedHowever the Details tab statuses are:Not Performed Not Finished Completed CanceledOur service technicians (property management) need to have the option to log “Not Finished” for a task for reporting purposes - what is outstanding on a service request. How would we go about to make this change.  I can find not preferences for appointment logs.

We just updated Acumatica to Build 24.203.0023. After doing that our service technicians have been complaining about the App.When entering the Appointment List, the default setting is for the complete month (Feb. 1-28). Before the update we really could see all the appointments for the month on that list. Now it only shows the first few: Feb 1-12.If we select “Today”, we can see the appointments for today only, but if we want to see the appointments for yesterday or tomorrow, we have to manually go the filter and set a smaller date range such as this week only in order to see the dates before and after today. When restarting the app, it again goes back to the default complete month which doesn’t work.Anyone else facing this? Any suggestions?

We are currently opening a new branch dedicated to mechanical maintenance of vehicles (Appointments). We are looking for a solution to re-invoice these appointments to customers, whether internally (for the fleets of the different branches) or for external customers.I started exploring Acumatica, but I noticed that there are several concurrent windows, such as Equipment (FS205000) and Vehicles (FS203600).I read the help but it does not allow me to understand the distinctions.I want to be able to track costs on my vehicles. I want to be able to see if I change the same part too often (warranty/claim to the supplier) I want to be able to do periodic monitoring (inspection every 4 months for example) In addition, it seems that a vehicle cannot be used as target equipment. Do you know why?Could I extend a vehicle to a Target equipment?Does anyone here have a good command of this suite and could guide me?

We are exploring deleting branch locations and consolidating them. Long story short, we set it up wrong and need want to move it to how it should be used.We will probably wait until all open Service Orders / Appointments with the older branch locations are completed, closed & billed out until deleting them, but in a Sandbox I deleted the Branch Location and it makes that required field have a warning that the Branch Location has been deleted, and in the GI it is NULL.What ramifications can I expect to see if I delete branch locations?

We went live with Field Service in July 2024.  The ONE thing we are struggling with is the requirement to add purchase order items as quickly as they are needed. If our guys are at the hardware store buying a variety of nuts and bolts, it is cumbersome to enter these details at the time of purchase for the techs in the field on their iPads or the people in the office.  In our former software (Sage 300 - and yes, we know it is antiquated), but we could have a blank Purchase Order and fill in the purchases later.  At the very lease, a blank purchase order alerted us that we have an vendor purchase against the appointment. Because of this limitation, we are not using purchase orders at all.  Have any of you figured out how to enter a blank Purchase Order in Acumatica?

What happened to "SELECT ON MAP” functionality? We just upgraded from 2023 R2 to 2024 R1 and the “SELECT ON MAP” button has disappered. We now have only “VIEW ON MAP”, which does not verify addresses as "SELECT ON MAP” did.

Since (my understanding, especially based on other posts) Acumatica doesn’t provide any warranty functionality besides the “Warranty” checkbox on service order detail, I’m curious how other service companies that ultimately need to file warranty claims with their vendors handle service order billing and inventory handling, as well as tracking claims with their vendors. We have a pretty good setup, but it’s all customization.  We added a Warranty Vendor column in FS Details (since we can have multiple vendor claims on one service order).  If filled in, logic kicks in that sets the prices (on stock and non-stock items) to based on vendor price records for those items, and then discounts it 100% with the discount offset to a warranty AR account. There is a process screen that then reviews all invoices from service orders with any warranty lines and creates a claim.  The claim is actually a PO Return Receipt, in which we “return” a nonstock item to the warranty vendor for the amount of the c

Has anyone encountered this error on an Appointment?  We are trying to Quick Process this appointment using Sales Order Quick Processing, also run billing and we get this error. We do not require serial numbers, also i’m wondering if its due to the fact that we have 2 EA UOMs in our conversion table. Any help would be appreciated! Screenshot here: Trace Log 1 Here: PX.Objects.IN.PXUnitConversionExceptionIN Error: Unit conversion  is missing.   at PX.Data.PXFirstChanceExceptionLogger.ProfilerFirstChanceException(Object o, FirstChanceExceptionEventArgs args)   at PX.Objects.IN.PXQuantityAttribute.CalcBaseQty(PXCache sender, PXFieldVerifyingEventArgs e)   at PX.Objects.IN.PXQuantityAttribute.CalcBaseQty(PXCache sender, Object data)   at PX.Objects.IN.PXQuantityAttribute.RowInserting(PXCache sender, PXRowInsertingEventArgs e)   at PX.Data.PXCache.AttributeHandlersSquasher`1.<>c__DisplayClass2_0`1.<To>b__0(PXCache cache, TArgs args)   at PX.Data.PXCache.OnRowInserting(Object ite

In Service Orders (or appointment's) I have found that when I add an item that has a new stock item + warehouse combination the Item Warehouse Detail for the new warehouse is not added to the stock item..This is causing it to not appear on my Prepare Replenishment screen. If I manually add the warehouse detail to the stock item, I will have to also have toggle the Override Replenishment Settings for the Replenishment Source & Replenishment Warehouse to load from the defaults outlined on the Stock Items screen.I hope this makes sense, I can provide screen shots if needed for more explanation.Acumatica 2023R2 Build 23.212.0024

We have discovered a rather significant error caused by recent changes in Acumatica related to appointments managed in the mobile app. This is now affecting nearly all of our clients. Apparently Acumatica has made a change in how the signature function works on appointments, triggering a background process that takes the signature image and applies it to a PDF copy of the appointment summery. Previously when the technician would have a customer sign an appointment, Acumatica would simply attach an image of the signature to the appointment. Now Acumatica takes that signature and generates a PDF copy of the appointment summery, then deletes the signature image file. This sounds great, because people would rather be able to see the signature applied to the document rather than just sitting there as an image file. The problem is that Acumatica’s process of creating a PDF with the applied signature, attaching it to the appointment, and then deleting the image file causes the appointment in

Hi Community, I was referred here by someone from support. Does any one have already experience an issue on the invoices after the upgrade? The invoice from service order has a direct link which shows on the related document of the invoice. After our upgrade, the related svc doc nbr (related document) is still showing on the invoice, however, you cannot use this as a reference in generic inquiries or reports. Is this a known issue on 2024 R1? Does anyone have a resolution to fix this?

What roles can I use to set field services in 2024 R2?

Hello:Does anybody knows if there are any field services roles define in the 2024 R2 version of Acumatica? and if there are not, Which I can use to define the service role?thanks,

Hello- Hopefully this is relatively easy fix and I’m just missing something. So, we’re creating appointments and using the buttons to start travel, begin work, stop work, etc. When the Travel portion of the appointment is completed, the box is checked for Add to Actual Duration. However, when we Start Work, the box is not automatically checked for the work line item:When this box is not checked, the line item in the Details tab defaults the Actual Duration to the value in the Estimated Duration. It could be a setting in the Service Order Type, but is there a way to have this Add to Actual Duration box checked for all log items? Thanks in advance for any help!
