Fleet maintenance- how to?

We are currently opening a new branch dedicated to mechanical maintenance of vehicles (Appointments). We are looking for a solution to re-invoice these appointments to customers, whether internally (for the fleets of the different branches) or for external customers.

I started exploring Acumatica, but I noticed that there are several concurrent windows, such as Equipment (FS205000) and Vehicles (FS203600).

I read the help but it does not allow me to understand the distinctions.

  • I want to be able to track costs on my vehicles.
  • I want to be able to see if I change the same part too often (warranty/claim to the supplier)
  • I want to be able to do periodic monitoring (inspection every 4 months for example)

 

In addition, it seems that a vehicle cannot be used as target equipment. Do you know why?

Could I extend a vehicle to a Target equipment?

Does anyone here have a good command of this suite and could guide me?

You are correct. Acumatica has some redundency here. Even there are two equipment screen in addition to the Vehicle screen. In addition to these two screens EP208000 is also equipment screen. To me all these screens should have been one screen with a checkbox to mark a piece of equipment as vehicle and when marked be able to enter the vehicle registration info. But that aside here are my thoughts:

  • Rather than setting up vehicles in the Vehicle screen, you can set them up in Equipment screen so you can mark them as target equipment. Or, you can do a little bit of customizations to allow vehicles become target equipment too.
  • You can track your equipment cost if you receive the parts in inventory then in Appointments use those parts on your equipment. You also can track service time coded to your equipment as well.
  • By assigning parts to equipments in Appointments you can then easily run the cost associated with each piece of equipment/vehicle and also see the frequency of items replaced.
  • Using Acumatica Service Contract and Service Schedule you can acheive setting up preventative maintenance schedule. The Service contract can generate Appointment or Service Order depending on how you set them up.

Equipment (FS205000) and Vehicles (FS203600) are basically the same screen, but Vehicles was created to be used with Route Management. 

I agree with Reza’s advice, do create the vehicles that you maintain on the Equipment (FS205000) form, as target equipment. This functionality will allow to do what you described.
