Acumatica Payroll Preferences Error on Time Posting Option

Hello, we are working to setup Acumatica Payroll and running into an error when setting up payroll preferences. The screen is checking for a specific option in the Time Posting option box, but its not showing up on our form and giving us the below error. Any ideas? Possibly a feature I need to enable\disable? Employee Payroll Advance

We have a unique situation where employees sometimes need pay advances for whatever reasons. These are usually paid back each pay period based on a fixed amount. I am wondering if anyone has dealt with this and what the best way would be to set this up in Acumatica Payroll so that repayment deductions can be made each pay period.

Payroll Workers compensation (Wisconsin)

I have a client that is trying to setup 2 work comp codes into his Payroll system in Acumatica. We are far from PR experts. Does anybody have any experience, knowledge in setting the employee/employer settings for these? they are on 2020 R2 system. Any help here would be greatly appreciated!! Thank you.

Cannot release payroll batch due to processing error

Hi everyone,I am going through the L100 Payroll module, and I’m processing a direct deposit payment batch.I’ve created the batch, exported a pre-note file and an export file, and confirmed the batch as paid. I’m now trying to release it to the ledger. I keep getting the following error: I checked the payroll batch used for the payment, and the cost codes for all employees are empty: So, two questions:The project I used to create the payroll batch has a cost code assigned of 00-000. The documentation says that Acumatica will pull that information from the project data when it creates the payroll batch. However, it didn’t do that. Why? Why would the system perform this check so late in the process? This is after I entered, approved, and released all the time activity, after I created and processed the payroll batch [this seems like the logical point to perform the check], and after I created, processed, and paid the payment batch. Expense Claim Approval error

Hello community,i have been facing issue related to the Expense Claim Approvals. It triggers the following error:I tried to unpublish the customizations and then check out but it still shows the same error.Have also defined the Approval Map under the preferences screen too but it displays the following error.But when I remove the Approval Map from Times & Expenses Pref screen → Explain Claim Approval map then it doesnt throw any error since the approval isn’t been applied now.Why is it so?

What is the best way to claw back employee commissions that were paid in a prior period?

Here’s the scenario that I cannot figure out: Employee 1 paid commissions of $1000 in each June, July, and Aug (total $3000 in commissions over 3 months). In Sept we realize that June was overpaid commission by $300. We can enter a negative $300 amount on the next payroll using Payroll Adjustment but cannot figure out how to get the taxes (employee and employer) back. Essentially he paid taxes on the $300 back in June and if we’re taking the $300 away from him we need to give him back the taxes paid on that $300. There are also employer paid taxes that we need to get figured out but most importantly we need to get the employee the taxes paid back since we’re taking that $300 away. Any suggestions are greatly appreciated!

Per Diem - W-2 Reporting Type

If a per diem is for reimbursed expenses, what should the reporting type be for the earnings code set up? It appears the only option is to mark it as PR-12 Reimbursed Expenses, but as long as the per diem is within federal guidelines, I don’t believe anything should be reported on the W-2 but you can’t leave the “Reporting Type” blank. If it places the full amount paid in Box 12 under Code L, this would be wrong, but it shouldn’t be included in Normal wages either. If I understand the IRS guidelines correctly, if the per diem is non-taxable the only amount that should be reported in Box 12 would be the difference in the per diem paid and the federal per diem rate if the amount paid is higher than the federal rate. I’m no where close to a payroll tax expert, but there has to be a way to pay per diem through payroll without it impacting the employee’s W-2.

I don’t see any API endpoints for Acumatica’s Payroll module, in either the screen APIs or REST. Maybe I missed it. Is there any ability to integrate programmatically with the payroll module?

Union Burdened payroll contributions in Construction Job Cost

I am using Acumatica Payroll with Construction. I am not seeing the union benefits along with the raw hourly rate by hours being distributed to job cost jobs. I have reviewed all the settings and do not see any action that would facilitate this process. Any suggestions. Thank you in advance

How to create a busness event without a trigger

HI,I am wanting to create a business event o send an email to all staff before a payrun is opened, the message will notify manager to approve all outstanding leave before the payrun is opened and processed.My question is, without a trigger (i.e opening the physical pay run) is there a way that I can do this in the acumatica platform?

G/L recap before releasing payroll checks

Anyone know if there is a way to print or view a report/inquiry of the GL posting of a payroll check before it is released? I keep getting a G/L out of balance error when I go to release the check. Not finding any answers in knowledgebase or general community search. Any ideas are greatly appreciated. Is there a good point person from Acumatica to ask payroll questions of or is this the best place to post questions of this type? Thanks Kathy

Taxable Wage Limit Calculations

Hello Everyone,I was wondering how the payroll module pulls taxable wage amounts. Let’s talk about the California SUTA wage base amount. Say an employee has gross wages of $10,000. The taxable wages for the California SUTA will stop at $7,000 (unless overriden of course). Does it stop at $7,000 because Acumatica is pulling this limit from the tax symmetry engine?I am just trying to get confirmation on how this works.Thanks

PTO Accruals - limits

We accrue a certain amount of vacation and sick time throughout the calendar year and have a limit each year. This has been set up and worked in years past, but this year Acumatica seems to have exceeded the accrual, even though the maximum for the year has been reached. Anyone experiencing this same problem? I checked the PTO codes and they are all still set up correctly.

Aatrix Issues

For the 3rd Pay period in a row (3-weeks), I am not able to use Aatrix for e-filing. Payroll taxes, certified payroll reporting, other. Has anyone else experiencing these issues with Aatrix recently? Does Acumatica have a plan to offer an alternative to Aatrix for government reporting?

Weekly Crew Time Entry to Employee time card create on Hold

When you create a Weekly time card entry for a number of users that belong to the workgroup.The timecard entry is created with an On Hold status. A User is required to submit the timecard to remove it from the On Hold status. For our customer this is workers who does not have access to Acumatica hence an administrator need to update the timecard entries. Is it possible to set the Workgroup timecard entries to Balance status? I am considering import scenario or review Action automation to update the timecards.

TAX UPDATE NEEDED for Payroll customers currently on version 2020 R1

ISSUE: Taxes calculate at higher than normal amount. SOLUTION: Update your tax definitions and recalculate your current payroll checks. The issue is currently being researched and will be published as a known issue once official. If after updating the tax definitions, the issue still remains - please contact your support solution provider. **Versions 2020 R2 and2021 R1 is not affected.

Payroll - Additional state tax withheld but employee did not work in that State for the additional tax

In the case where a client has employees working in multiple states, some employees have additional state tax withheld. If an employee works in MO and KS and has additional tax of $10 for KS and does not work in KS that week, Acumatica still withholds the $10 additional tax for KS. The only way around it is to update the Employee Payroll Settings and remove the $10 additional tax from KS for that week and then put it back again for the next paycheck. This involves a lot of intervention to prevent this and then remembering to go back and update the tax settings after generating payroll for those individuals. We need a way to have Acumatica not include the additional tax when they are not working in the State with the additional tax.

Does the "Use payroll work location from project" checkbox still require users to add locations to the employee record?

Hi!i’ve been testing this out and i am not sure if i’m looking at this wrong or if this is functioning as expected but i am trying to leverage the “use payroll work location from project” checkbox from the employee payroll settings so that whenever this employee creates a timecard with a project with a payroll work location, the system should associate said work location...however, i am noticing that unless that work location is added to the employee record, the system does not pull that information in.im curious to know what other users are doing to handle this work location issue. the client i am working with pays taxes based off where the employee works NOT their home address. this client also has over 100 field employees that they pay on a weekly basis that apply time to a number of projects.it appears that the only way this functions properly is if the project work location is added to the employee record. you will also need to have a non-project related work location set up (t

Washington State Paid Family Medical

Is anyone else in Washington state having issues with their Paid Family medical not calculating correctly starting at the end of Q2 2023?My testing and research is showing that all of a sudden this tax is way over deducting from my employees and it appears to be coinciding with the roll-out/implementation of the new WA Cares tax.I’ve checked my tax settings for WA FLI and they have not changed, so I’m stumped as to why the change?

Taxes not populating on Paychecks and Adjustments PR302000 (Build 21.122.0021)

When creating a new Paycheck using Paycheck and Adjustments (PR302000). After entering and selecting Employee “Maxwell Baker” and Pay Period “06-2021” and navigating to the Taxes Tab. The correct Taxes are populated. Doing the same for pay period “AA-2021” , the Tax Codes also populate correctly. The problem arises when selecting a Pay Period in the next year, Pay Period “01-2022”. When a Pay Period from 2022 is selected the Tax Codes do not populate. Any insights as to why the Taxes would not populate would be greatly appreciated. Examples below. Pay Period 06-2021: Pay Period AA-2021: Pay Period 01-2022:

Restrict Employee hour

Hi Team,How can we limit the number of hours an employee can work per week? For example, if Mark is supposed to work for 40 hours per week, how can we ensure that he does not work below or above 40 hours per week?How can we restrict an employee from taking more than 80 hours of leave per year? We want to ensure that the employee does not exceed this limit.
