Acumatica Payroll W-2s have been tested and are now available in the forms list under Government Reporting. For those customers with 2020 R1 Update 112 or later and are live with Acumatica Payroll and needing to produce 2020 W-2s; you can start the process now:Steps:With your partner or consultant’s assistance, please download and publish the AC186560.GenerateW2.zip customization. In Payroll > Government Reporting > select 2020 W-2/W-3. Follow the reporting prompts to review before eFiling the W-2s/W-3.For those customers with 2020 R2 currently installed, you may also make use of three new annual reports for taxes, earnings, and deductions & benefits to assist in year-end reconciliation. Payroll Posting Settings based on Projects

This is a follow-up to an earlier question- where Denise indicated that there is (or will be?) a secondary setting for “x” projects to be posting to the GL. Where is this setting to be found and configured? We have entered timecards and posted to projects with the GL Posting turned on. Time to projects got posted in a GL batch, however time to the <x> project (which included the Holiday time and normalize time) did not get dollarized into a GL Batch. This is on 2021 R1 with no Payroll enabled.

Salary Employee Rate Calculation

Hello Everyone,I am looking to see if there are any other options for a minor issue I am facing. On older versions of the payroll modules, like 2020R2, the system calculated salaried employees’ paychecks by the amount of hours times their salary rate (divided by the amount of pay periods). For instance if a salaried employee was paid $1000 per pay period for 80 hours, then for 40 hours they would be paid $500. In newer versions this changes to $1000 regardless of the amount of hours they have. This makes sense to me but I am wondering if there is any setting I can change to turn this back?I know one option is to make those salaried employees “hourly”. Another option is to change their type, on the paycheck, to “hourly”. In the meantime I have created an inquiry that I use to show salary employees hours that we run after a payroll import to see if we need to do any manual changes (we are working with 300 employees, about 100 are salaried). Is there a way to easily enter a "Per Diem" expense in time entry and have it paid through payroll?

In our case, the supervisor would be entering the number of days that a per-diem should be paid per pay period. The rate will be tied to the project (i.e. all employees working on the same project would get the same "per diem" amount for each day they worked). It would be paid as a lump sum (un-taxed) total per paycheck, based on the number of days the employee worked on one or more “per diem” projects.P.S. In our case they will be sending time entries to a third party ISV, but this could apply to a client that uses Acumatica payroll as well.Any thoughts?

Aatrix Certified Payroll Report

Is anyone using this document successfully through Aatrix in any jurisdictions? I have tested the output in Pennsylvania and Ohio and the design drops local taxes from the tax totals and deduction fields rendering it useless to the client. I would like to know if these issues are being seen in other states and if other partners have discovered a way to utilize this built in design, we have resorted to using a customized report through Acumatica report writer to acheive this functionality.

PTO Accruals across calendar years appears to be broken. Double-check your records

We've done enough testing of this (trying to find a work around) that it's pretty clear what is happening is a bug and not a misconfiguration/misunderstanding. We already have a support ticket open, but I wanted to share out situation in case anyone else might be unknowingly having the same symptoms. Problem appears to occur when the *pay period* crosses the calendar year boundary. This is because Acumatica breaks it up into two PTO bank records - a 2021 portion and a 2022 portion. Then the PTO allocated is pro-rated across the payroll week... so in our scenario, with a payroll week from Monday-Sunday, two days are in 2022. And so our notional 1.54hr PTO weekly accrual gets split into a 2021 portion (1.1hrs) and a 2022 portion (.44hrs).On that first paystub of the year, we see ONLY the .44hrs allocable to 2022 reflected (same in the PTO Details by Employee Report -- though on THAT report you see the 2021 record broken out, it just isn’t summarized correctly.. Aatrix Payroll - Government Reporting - Input String Format

Hello, - When trying to generate Government Reporting in Aatrix has anyone gotten an error message generated by Acumatica that states “Input string was not in correct format”, while a larger box on the screen that appears to be generated by Aatrix states “Waiting for Payroll Data” ? If so, would you mind sharing the solution? It will be greatly appreciated! Thank you!

What is the best option available if you have “Released a Payroll Batch” and did not get the .TXT file. Is there a way to Delete or Void a Payroll Batch so that a new one can be created?

Employee time card - error specified cast is not valid.

Have been configuring Time Cards for use for employees. When in the detail line item of the time card, after selecting the earning type, project, project task and labor item, when we get to the day to enter the time, receive an error: cast is not valid. So I cannot add time. What would be causing this error? Payroll Bank Rec Issue

I’m not sure if this is a glitch in Acumatica or a setup issue on our end. Bank reconciliation is showing the direct deposit batch total as one line on the bank rec (which is how we have it setup in the bank and what we want) and no individual pay stubs; but once the bank rec is released, the individual pay stubs show in bank transaction details as cleared but not reconciled. In next reconciliation the individual pay checks show up for some reason as ready to be reconciled with the cleared box checked. Users cannot reconcile the individual pay stubs because they have already reconciled the whole direct deposit batch in the previous reconciliation. It is like a flip gets switched once the direct deposit batch is reconciled and released that marks the pay stubs as cleared but not reconciled and then allows individual the pay stubs to then show up in the bank rec. I can’t figure out why the individual pay stubs are 1-not being marked reconciled when the full batch is reconciled, and 2-why

Correcting an Employee that was Over Paid

How do you enter a payroll correction to reduce an employees check when they are overpaid? I have tried multiple things and keep getting errors. You can’t have negative hours, rates, or an amount of the earnings tab…. If I do a deduction is does not correct their earnings for the year… Any suggestions on how to correct this?

Payroll Tax Withholding - State Lived is Different than State Worked With Reciprocity Between the States

We have a client who is getting ready to go-live with payroll. They have a multi-state payroll with many unions and many certified projects. They have just told me that they have several employees who live in one state (e.g. WI), but work in a different state (e.g. IL) and there is reciprocity between the states. So the employee can choose which state that want for State Income tax withholding. Which isn’t a big deal, it can be done with the Work Location. Here’s the kicker….The unemployment tax has to be go to the state worked, regardless of the state the employee chooses for withholding. In my example, the employee lives in WI and want state income tax withholding in WI, but works in IL so the system needs to calculate IL SUTA tax. Any ideas on how to achieve this?

Can Acumatica Payroll handle leave without pay?

Can Acumatica handle tracking Leave Without Pay? I need to track the hours but the pay is 0.00. I setup an Earning Type for this and added it to my paycheck test in Paychecks and Adjustments. I was able to add the earnings detail line with hours and set the pay rate to 0.00 however, during the Calculation process, Acumatica removed the line. Any suggestions? Thanks in advance!

Report for Total Hours by Employee

I need a report that will show total hours worked, by construction project, by employee, for a specific date range. There are only two canned hours reports in the construction edition -- neither of them accomplish what I am looking for.I’ve built a generic inquiry from the Earning Details screen and made a pivot table - which is okay -- but I’d rather have a standard report I can run each month.Any suggestions?

How do I see my PDF Paystub in the APP?

My employees can view the paystub summary but cannot pull the PDF. However, if I log in under Admin Permissions I can pull my own PDF paystub (the “View Pay Stub” button is there). Is there a Access Rights Setting that needs to happen to allow this the app?

Payroll: 941 Acumatica validation report

Good morning Acumatica users! Are you aware of a quarterly 941 summary produced by Acumatica? Here is an email thread from our employee that processes payroll to our VAR (it’s easiest to start at the bottom - and screenshot from our VAR is attached.)..and Thanks to anyone who reads this! :) : They would have to combine three different reports just for the 941 returns. Does the "Time Card is Required" flag on the Employee (Organization) screen have any functionality behind it or is it informational only?

Does anyone know if the "Time Card is Required" flag on the Employee (Organization) screen has any functionality behind it or if it is just there for informational purposes? I have not seen anything in payroll requiring a time card, but I didn't know if there was a warning or error produced somewhere else in the system if that flag is on and no time card is entered.
