Canadian Payroll ROE Submission to CRA

We have been unable to submit an ROE file processed through Acumatica, because Service Canada is rejecting the file type. The file has to be in BLK format. We have tried numerous ways to get this to work, but it appears that Acumatica needs to automatically convert the XML file to BLK when it’s processed and saved to the computer. (Our previous system Sage converted automatically. The file was in BLK before saving to computer) Seems like a programming issue in Acumatica, but so far, support has been unable to figure this out. I’m wondering if anybody using Canadian Payroll has had to process a termination and use Acumatica’s ROE feature? And if so, how has it worked for you? Hope this all made sense. I am not a system analyst and my terminology may be confusing. lolThanks!

How to configure ACH transaction code

I am currently trying to configure an ACH file that my customer uses for payroll, and I am not sure how to have the transaction type change as needed. Currently, the code is 22, but if a check is $0, it needs to change to a 23 to indicate that it is a pre-note. I cant seem to find anything for this in the .txt file or the export scenario - what is the best way to go about this?

Are you able to print W-2’s from Acumatica payroll module?? I don’t really like the idea that I have to pay for the payroll module and an outside subscription to be able to do W-2’s.

Best practice to hide SSN for Employees or Vendors?

I was expecting that the GDPR feature would allow user to identify and the secure private fields.It currently hides the names and contact addresses but not the most private field such as SSN.Is there a method to select which fields get blocke? Can this be addressed soon to help clients avoid liability issues?

Timecard Approval Map workflow

I need assistance setting up approval map for time cards. Our current system is that the Foremen creates and approves the timecards on behalf of the field. Once they approve the timecard it should go to the project manager for approval/release. Trying to set up where the Foremen can create timecards for any employee so i made sure they have access to the all employee group, I tried to set the rule that they are required to approve the document if its created by them (document > credted by > equals > foremen user) and the project managers will approve based off the project number using timecard detail > project > equals project number. I need help please.

Per diem and reimbursements being included on 401k deduction (and taxed)

How do you suggest is the best way to handle Reimbursements on a paycheck so the per diem does not get taxed or included in 401k%? We have reimbursements and per diem that need to be on the paychecks but not subject to taxes and/or 401k % deduction. Thanks in advance!

Setting up payroll for a new client. One Earning Type code, out of many, is not to be included in over time calculations. Does anyone know how I might configure this exclusion to OT?

My current client has many Earning Type codes and they are all included in OT calculations except one. This miscellaneous Earning type is used when the company ‘gifts’ an employee a day off with pay. A gifted day off, such as this, is not eligible to count towards OT pay for the week. Has anyone ever run into a scenario like this? Thanks in advance for any input.

Payroll Withholding for Multiple States - Driven by Project Location

We have several projects in different states, other than our own that our technicians are working. How do we process a paycheck to withhold from the state they are performing the work for those hours, in addition to the hours working at our home base.If an employee lives in Texas, but is working in Arkansas for a week, will the project allow for his time to be charged to the state where the withholding will need to occur (Arkansas)?

Aatrix Subscription for Tax Tables

Will we need a subscription to Aatrix to pull in the latest tax tables? We will not need the service they provide to produce our W2s/W3, or payroll tax returns for the quarters and annually.While testing the system, the EEO-1 report will not generate info? Is Aatrix needed for this?How does the tax tables get updated?

Certified payroll, Benefits reducing the rate calculation question

HelloWe are newly implemented and working through our first certified projects.For our employees that we offer health insurance and 401k, the certified calculation isn’t quite right. You can annualize or not the benefits.This changes the way the calculation works for benefits reducing the rate.When you annualize health insurance it works more accurate as the cost is divided out over the anticipated hours per year.401k, if you annualize the rate, it divides those dollars over anticipated hours per year. Which can under report contribution and require us to over pay the employee.if you don’t annualize it, it over reports and under pays the employee.For example. We match 4% of hourly rate for the 401k. If an employee works 10 hours on a certified job and 30hrs on regular job. It takes the 4% match on all 40hrs and divides by the 10. We want the 4% of 10hrs divided by the 10hrs. So we are either over paying or under paying the prevailing wage job. The other issue, we work non-consiste

How do you set up a 401k company match when you have both 401k and Roth Deferral?

Hello!Our company has employees who defer to both a traditional 401K and a 401K Roth. Our company match is 50% of the deferrals, up to 3%. How do I set this up so it takes both the 401k & Roth in to account? If someone is deferring 6% to their 401K and 6% to their Roth, we want the max match to be 3% between the 2. Payroll Personal View Dashboard not working

Up until last week, the Payroll Personal View dashboard that is “out of the box” was working in showing payroll information for our employees. For our employee’s direct deposit last week, it stopped showing data and this week it is completely blank. Has anyone encountered this issue and how were you able to fix the problem? We have not altered this dashboard in any way. I did also try and do a “Reset to Predefined” in the Dashboard configuration screen and that did not work either. Current View:

Payroll Tax by County, Rate?

Hello, I have to pay payroll in Indiana with LaGrange as the County and my payroll is not calculating the LaGrange tax. I don’t see a place to put county tax rates and Acumatica seems to not be pulling the information. I have no way to input information directly into her “Paychecks and Adjustments” any help will be appreciated!

Payroll Issues- Local Taxes not posting and cannot create new PR/DR batches

We are very new to Acumatica and going live in January. Because of the volume of new installs, we couldn’t get consultation to setup the PR system. So please forgive the basic nature of these questions. I’ve run a full PR cycle with actual hours and the results were very impressive. With the exception of the local LST and EIT not calculating the 1% or 1.00 per week. I’ve updated taxes, assigned to employees, even manually adjusted without success. On top of this after restoring a bu to rid the db of the pr cycle, I no longer have the “+” sign to add a PR/DD cycle. Any help is appreciated. 2020R1 204 version. Thank you

How to configure Vacation days (that must still deduct from PTO vacation bank) to count toward the weekly OT?

Scenario 2) Vacation days must count towards weekly over time. We have a PTO bank for vacation and must deduct any vacation hours from the bank. My Earning Type code is setup as “Time Off”. I’m looking for ideas on how I can have vacation hours taken still count towards the weekly OT. Thanks in advance.

Aatrix Payroll - Government Reporting - Index was out of range

After clients last payroll run - where they just added one employee to have ‘Paid time off’ - when going through ‘Government Reporting’ → Federal Tax Deposit (EFTPS) → and run if with the date range that the last payroll happened → they log into Aatrix they are then greeted with this message: “Index was out of range. Must be non-negative and less than the size of the collection. Parameter name: index”. Has anybody seen this error message? I have checked the one change that was made and it matches what 3 other employees have exactly on entries and exact time entered for that line item. I have seen similar error messages on this forum and looked into those data errors causing those and that is not the problem here bringing up this error. Appreciate any feedback that you all may have! Thank you.

Approved Timecard still show in the Approve Time Activity screen

Hi All,We are using the Approve Time Activity Summaries [ScreenId=EP507030] or Approve Time Activities [ScreenId=EP507010] screen to approve timecard related to a project. In this screen even though the timecard is approved/rejected already it still shows in both screen, it should be eliminated on the screen as this timecard has been processed already. Anyone who experience the same issues? We are using Acumatica 2022 R1 version. Thank you. Regards, Anne Samson

Timesheet REST API update

I am using REST API to insert bunch of timesheets under a batch, this process is fine but later on I am not able to search through the batch in order to find a specific employee timesheet. I want to find a particular timesheet, remove it or update it and put it back using the API. Is there a way of doing this instead of deleting the whole batch and recreating it again via API?

The screen is checking for a specific option in the Time Posting option box, but its not showing up on our form and giving us the below error. Any ideas? Possibly a feature I need to enable\disable? I have a client that is trying to setup 2 work comp codes into his Payroll system in Acumatica. We are far from PR experts. Does anybody have any experience, knowledge in setting the employee/employer settings for these? they are on 2020 R2 system. Any help here would be greatly appreciated!! Thank you.
