Setting Reminder for Customization Project License Renewal

We have a customization project from a third party that has a license which needs to be renewed this time of the year every year. How to setup a reminder to ourselves about this renewal date approaching. I know the exact date at which this license expires each year and it is available in the acumatica system as well . However we do not have anything setup in the acumatica system that could inform us about the license expiry. This year we found the license has expired only after the system threw an error while processing a transaction .I would like to achieve three things here , Acumatica system to let us know about the license expiry/renewal a month in advance Email to be sent to the third party inquiring whether the invoice is paid (whether they received money from us for renewal) Get confirmation from third party about the invoice and get a copy of the necessary API key to renew. Get confirmation from the third party that the new API is used and that the license is successfully renew

Opinions for Single-Tenant, Multi-Company vs Multi-Tenant, Single-Company

I have a client that operates two separate companies in two different countries.They do not want to share Financials, Customers, Employees, etc. I am looking for opinions as to why I would implement, and what the deciding factors would be, for Single-Tenant, Multi-Company versus Multi-Tenant, Single-Company setup?The two appear so very similar. Add Number of Digits to the Length of the Payment Reference Number

Hello - When attempting to cut checks, we are getting the below error message, “Cannot generate the next number for the sequence”, and the last payment reference number was 9999. It seems like there us currently a 4 digit cap on the length of the Payment Reference Number. How do I extend the length available numbers on this field? I could not find it in the numbering sequences, and it is different than the AP Payment numbering sequence.Thanks!!

Accessibility issue in Project quote and project

In the Project modules, our project managers are restricted by their assigned customers. They can only record new project quotes and project for their respective customers. Typically, project quotes inquiries and project inquiries display only the projects assigned to the respective project manager who has restricted by their customer and they are not able to see other PQ and Project in inquiries. However, project managers can access other PMs' projects by using the 'Go to next Record' (page down) or 'Go to previous record' (page up) options in the top menu of the project and project quote pages.it seems that Restriction by customer doesn't work properly to make restriction on Project and Project QuotesIs there a way to deactivate these options or otherwise restrict project managers' access?

Device Hub and User connection timeout

If a customer has a low user timeout (30 min) for security reasons does this affect the ability for Device Hub to run for an extended time with no print jobs?Customer is having issues with only printing a few times per day on Device HUb and they feel like they need to restart DH to get the jobs to print? Could this be the user timeout?Has anyone had this issues? Is there a best practice to configure Device Hub that will only be used once or twice a day or so? (note these are print jobs on daily automation schedule) Thank you

Enabling Hold option for Expense Claim

Hello all,i have been trying to allow the approver of expense claim to be able to change the document on Hold even after it’s approved but before releasing so that they can edit the particular doc. I tried to modify the Access rights by setting the Hold = Edit but it still doesn’t allow the employees with Approver role to change the expense claim doc back to hold after approving the doc. How can I get this done?Thanks in advance.

Numbering Sequence Running Low / Prevent running out

What’s everyone doing to prevent running out of numbers on auto number sequencing.In particular with sales orders...we have a numbering sequence of SA00000 through SA99999 which we are into our SA99XXX so we will run out of numbers soon. Should I just add another digit to this or should I use start dates with different sequences?I’ve run into this in the past already with production tickets and invoices where I just added another digit to give me 999,999 numbers before running out. Thanks

Hi, all. I have my own stock items in separate Database. My manager wants me to map the fields of data base in Stock items form in Acumatica. What is the best way to do this? How can I put the data present in DB directly to the form. I want to create automate process. When ever new data comes in my DB. Scheduler should add new data in Acumatica forms.

How to assign different default subaccounts to different GL accounts

Is there a way to specifically assign a GL account a default Subaccount?For example, I have the following two GL accounts11000 Accounts Receivable12000 Accounts PayableBoth are assigned to Asset classes and Control Modules respectively as11000 Accounts Receivable AR AR12000 Accounts Payable AP API want to assign a default subaccount to each of the two GL accounts like this11000 Accounts Receivable default Subaccount : 00009-90012000 Accounts Payable default Subaccount : 00010-100Both of those subaccounts are in the subaccount list, but I cannot find the setting where I can set that the respective GL accounts need to use the respective subaccounts.Thank you,Jeff

How to create Cases based on subject line or keywords within email body

First, I think I know the answer to this question, but I need confirmation.IF I want to setup where I create a Case in Acumatica with a specific Case Class based on incoming emails with certain Subject Line headings or even Keywords in the email body, *must* I use and enable the Service Management Module/Feature?Or can I do that without Service Management, and if so where do I set that sort of configuration?Thank you,Jeff

How many users can simultaneously access Acumatica ERP during its trial mode? Is it restricted to two user accounts or two active sessions?Additionally, am I able to utilize two sets of user credentials to log in from multiple laptops concurrently?

Branch Access

Is there a way for a user to see all data for all branches when running a particular report regardless of access rights? Scenario: Vendor asks a branch for full remittance details on a check but that branch only has access to there branches information so they can not send. Is there a way for them to pull all info on that check without changing access rights?

Hi all,Basically how do we integrate Acumatica Cloud ERP 2023 R1 with Microsoft 365 multi-tenants for login authentication via Azure AD? Is it possible to configure it? Currently, we have one tenant of Microsoft 365 for login authentication via Azure AD. My concerns with multi-tenants Microsoft 365 with Acumatica:Will users login within the same Acumatica page? Users access the same Acumatica application and database? Any licensing cost will be incurred? Any additional Acumatica application setup?Appreciate for the advice. Thank you. Sales Order Send Email Issue

I'm encountering an email related issue with two users who have identical permissions. Both users have access to the Sales Order module (and all other permissions match) and are attempting to send emails from the Sales Order screen using the "Send Email" button. However, the behavior differs between the two users.One user, upon clicking the "Send Email" button, is presented with a popup containing an email template where they can edit sender information, recipient details, and compose a message. Meanwhile, the other user experiences no response upon clicking the same button, even after ensuring that pop-up blockers are disabled.To investigate further, I logged in as both users on my machine, and indeed, observed the discrepancy in interaction behavior. Additionally, I have reviewed all email settings to ensure that neither user has automated emails configured.Lastly we are working in 2023 R2 currently for an upgrade. User A does not show AP Clerk role when the User Type is Accounting , however when the User Type is Purchasing , I can see AP Clerk available for User A. My question is with User Type as Accounting , how can I add the AP Clerk role when it is not even showing in the roles ?

Hi There,I’m testing T5018 and noticed that there’s “Canadian tax reporting” available under 2023R2 version, however, I can’t find it under our companies setting but in demo. Just wondering how to added this to our companies for T5018 filling. Also, we used to have “taxes” under company but it’s gone under 2023R2 sandbox environment. Modify Sales Order Subaccount for Sales Orders Systemically

On some of our sales order, we have large system orders (perhaps 1% of orders) where are controller has the requirement that we post to a different subaccount than a common replacement or re-ordering of a part order. We default our sales account - subaccount to our prevalent replacement/re-ordering account (99% of orders). Our posting class for our items defaults to the inventory item entry for the sales account and the sale account subaccount.Questions: 1. I see a couple of "out of the box" actions available for sales orders where one can modify the sales order lines systemically (e.g. recalculate pricing). I suppose there is no other way than to have our order entry staff to manually enter the subaccount for these system orders manually on each line, right?2. We do our quoting of our large system orders on an Excel spreadsheet even though we our using the Project Accounting module within Acumatica with a line by line breakdown of items and their quantities.
