Hi everyone,I’m looking for clarification on how the Project Preferences → Account Settings (specifically Expense Account Source and Expense Subaccount Source) work when creating a normal Purchase Order linked to a Project.Here’s the scenario I tested: In Project Preferences, I set Expense Account Source = Project. In the Project Task, I defined a specific Expense Account. When I create a normal PO with a Non-Stock Item and link it to that Project/Task, the Expense and Accrual accounts still default from the Item Posting Class, not from the Project/Task. However, when I create a Project Drop-Ship PO, it correctly pulls the account from the Project/Task. Could someone please clarify: At

Hi,  we are using Acumatica in Germany (called here Haufe X360) and we need some support for customizations and development.Our local Acumatica partner in Germany has unfortunately not enough capacities. So we are looking for somebody who can support us here to bring more speed into some topics.  If you are interested just let me know. Lars   

We noticed that in Acumatica, the Customer field on a Project can still be changed even after the project is active and has existing transactions or invoices.From an accounting and audit standpoint, this appears risky because the existing AR invoices remain linked to the original customer, while new invoices would go to the updated customer — which can lead to inconsistent reporting and billing.I just wanted to confirm — is there a specific business scenario or setup where this behavior is intentional, or am I missing something in the configuration that should prevent changing the customer once transactions exist?If it is intentional, could you please clarify Acumatica’s recommended best practice for handling situations where a project’s customer needs to be changed after billing has started (for example, whether the preferred approach is to close the old project and create a new one under the new customer)?

Is it possible to set up an approval map for the following scenario: any credit or debit memo for AR Invoice where the amount of write on or write off is $5K or over. In this case the approval has to go to the manager before the document can be released. I have tried a few approval maps but it never trigger the approval, so not sure what I am doing wrong. Version 2024.1

In the leave Approval Scenario is there way to configure the rules so that if an approval has not been actioned within 5 days, it can be escalated to someone else notifying that the approval is not actioned, therefore the escalation contact can approve it.

Does the system support the billing of cases via project billing? On a case, I enter a billable work item and link it to a project and task.  I close (not release) the case.  The time shows on a timecard which I release.  For a billable case, in PMTran, I see the transaction marked to exclude from billing.  For a non-billable case, the transaction is not marked to exclude from billing.  In either case type, the time does not appear (not available) on the proforma invoice.

Hello, my company recently started with Acumatica, and we are using the time activity and timecard approval workflow in parallel. The idea is that project managers approve all time activities and the employee’s people manager then approves the whole timecard. The problem with the setup that we are experiencing is, that managers already see the timecard in their approval screen before all time activities are approved. They now have to open each timecard to see if all activities are approved. That is causing a lot of frustration as managers with 10+ employees have to open all timecards one by one over and over to see if they can be approved.Has anyone found a way to make timecards only appear in the approval screen once all time activities are approved? 

Hi - we are wondering if there is a way to create a pro forma time and material invoice to show unreleased time entries. We do not want to release the time entries until they have been approved after the pro forma invoice has been sent.

However, we require more than the standard out-of-the-box integration, as there are additional fields that need to be connected.Could anyone recommend an implementation partner with expertise in integrating Acumatica with HubSpot? Preferably based in the UK or Europe.Thank you.

For 24R2, Professional Services was a customization project.  For 25R1, I assume that is replaced by a feature (Enable/Disable Features)?

Hi - we currently have a customer who is billed at regular rates for time and materials but then receives a 5% discount on the invoice total (we want it to reflect that way and not set up a billing rule where we bill for 95% of standard rates). We have tried to set up discounts but they don’t seem to work on T&M invoices. We also tried to adjust the credit terms to give a 5% discount after 0 days but that also did not work. Is there any other way we can set up a discount for this customer?

Hello - we are trying to figure out how to make it so that an attachment is required for each expense receipt that is created. How would we make that a required field? 

Hello, we are wondering if there is a way to restrict time entered through time activities to only be entered in 6-minute increments or to round any time that is not entered in 6-minute increments to the nearest multiple of 6. Based on the clients we serve; this is the required way time must be tracked.

Hello - is there a way to prevent employees from being able to edit their time entries (by putting them back on hold) after they have been approved? We have employees who use time cards and time activities and would want to prevent this under both options. 

Hi - we are trying to make the description field under Time Activities be blank by default. Currently, it is pulling in the task description. How are we able to change that?   

Hello - is it possible to change the default set up of the time card screen to default to the Details tab instead of the summary tab?  

Hello, we are wondering how we can change the fields that show on the Approve Time Activities screen, we need the bill rate per employee to show as well as the total amount that is being billed to the project for a specific date range.   

As an Admin user is there a nifty way to get a list of all user favourites through a GI or any other means. The plan is to audit all the obsolete reports/screens sitting in the user favourites and replace them with newly build reports/ screens etc. this is for larger organisations and it’s be difficult to so this one by one.

We are a professional services company and we have a unique billing rule that we have to set-up, but I am not sure how to do this. We are still in the implementation phase of Acumatica.The rule that I have to set-up is the following:If the employee works 5 hours or more a day, then we would bill a fixed rate of $5,000. If they worked less than 5 hours a day then we would bill their time at their “normal” billing rate.Anyone have an idea on how to set this up?Thank you.

Hi:I wonder whether any one has developed or is developing an application to manage a shuttle service company. The general business requirements are as follows:Enable a consumer to book a shuttle service from town A to town B on a particular day and time. For each route, all the available trips should be listed eg. Route:Morristown, NJ to NYC and the available trips: pickup times and ETAs Eg. Route: Cherry Hill, NJ to NYC Eg. Route: NYC to Cherry Hill, NJ Available seats for a particular trip.  Enable a consumer to pay online for the booked service. Enable discounts for a frequent booker Enable a consumer to see payments made and outstanding invoices. Enable the shuttle service company to assign a driver for a particular route and trip. I think a possible solution is as follows: Acumatica ERP  C

Hoping someone can provide a way to resolve this. After DB schema changes some of the standard field names have changed. These fields are referenced in many Dashboard Widget filters. The underlying GIs have been updated, but the filters on the dashboard require someone to manually go and change to the new fields. Is there a clever way of updating these in bulk, as in if there is a field e.g. FieldName1 change to NewFieldName1. Thanks in Advance :)
