Prepare Replenishment Allocation for SO Created After PO

I ran into a scenario today where an SO was created after I had created a PO.  When the SO was linked the PO, the SO it showed all of that particular line item was allocated to that SO even though the amount on the SO was less than the amount on the PO.  That in turn makes it look like that item is in need of ordering again when it is not.

Is there a fix for this or a setting that we might not have thought of?

Based on the information provided, this is not the expected behavior. Please review the PO and SO linkage, item settings, and allocation details to verify whether there are any configuration or workflow differences that could be cause the full PO quantity to be allocated to the Sales Order.

Additionally, if there are any customizations published on the instance, please verify whether they could be affecting the allocation logic.

Can you try below,

  1. Break the existing link: Go to your Sales Order, click on the line item, open the Line Details window, and delete the link to the existing Purchase Order. Save the Sales Order.
  2. Split the PO Line: Go to the Purchase Order. If your PO line has a quantity of 100, but your SO only needs 40, change that line's quantity down to 40.
  3. Add the remainder: Add a new line to the exact same PO for the same item, and set the quantity to the remaining 60. Save the Purchase Order.
  4. Relink: Go back to your Sales Order, open the Line Details for the item, and link it only to the PO line that has the quantity of 40.

I believe this is expected behavior rather than a configuration issue.

When an existing Purchase Order is linked to a Sales Order after the PO has already been created, Acumatica reserves the PO line for that Sales Order instead of partially allocating only the quantity required. Because of this, the full PO quantity may appear committed to the SO, even though the SO only needs part of it. The remaining quantity isn't automatically made available for other demand, which can make it appear that additional purchasing is required.

I don't believe there is a setting that changes this behavior. If you need only part of the PO to satisfy the Sales Order, one option is to split the PO line before linking it so that only the required quantity is associated with the SO and the balance remains available.
