GI for PO values vs Budgeted Values

Hi,

I have a requirement to build a Generic Inquiry (GI) that compares Purchase Order values against budgeted amounts for each GL account.

I attempted to use the tables below, but I’m not able to retrieve the correct figures or reconcile the data as expected.

What does your ideal data output look like?

There’s not a 1 to 1 match guaranteed between GL accounts, GL Budgets & Purchase Order amounts.

Are you tryng to say 
“This Purchase Order consumed X percent of budget”
Or “This Account has a budget of X and Y purchase orders against it?
Or something else?

Figuring the exact logic for where to group data to make sure you get single matches in records can be complex in budgeting tables, so it’s important to have the “I want to be able to see X” clearly worked out to know what’s best to do to get there.

My requirement is to determine how much of the budget has been consumed by each PO. Specifically, I need to compare the following for the COGS accounts:

  • The amount committed through each PO.
  • The Year-to-Date (YTD) actual balance in the Actual Ledger.
  • The budgeted amount for the corresponding GL account.

We also use subaccounts to further categorize both GL accounts and budgets, so the comparison needs to take the subaccount structure into account as well.

Hi ​@michellew86  That’s definitely at the complex end of the spectrum.

Might be easiest to get the two sets of data as separate GIs, and put them together in Excel or PowerBI.

Alternatively, there are definitely enough moving parts there that I’d recommend talking to your VAR or an implementation consultant/reporting specialist.
