We are currently implementing Payroll and are using the Header Notes section in the Employee Payroll Settings to store confidential employee information. However, it appears that these notes are linked to the Employee Record Notes, which are accessible to the Operations Admin role through the Employee record.

I am trying to configure row  level security to hide the Header Notes field, but the field does not appear to be available, so I am unable to revoke access to it.

Is there a way to unlink the notes in the Employee Payroll Settings from the notes in the Employee Record? Alternatively, is there a recommended method to restrict access to these payroll-related notes so that confidential information is visible only to authorized payroll users?

Thank you.

Option1: you can revoke access through access rights, Please find the below community similar post, how to hide that through access rights.

Option 2: If the first option doesnt work for you, then you need to try customization.

Hi @frocido ,

As far as I know, the notes can’t be unlinked. Notes in Acumatica are stored against the record’s NoteID. The Employee Payroll Settings screen is built on the same Employee record, so the Notes shown there are the same notes shown on the Employee screen. That’s why anyone with access to the Employees screen can read them, and why the notes don’t appear as a field in Access Rights by Role. The Notes panel is not a regular field, so field-level or row-level restrictions don’t apply to it.

You can try the following alternative:

Use a custom field instead of Notes - Add a custom text field to the Employee Payroll Settings screen in a Customization Project and store the confidential information there. Custom fields can be set to Hidden or View Only per role under Access Rights by Role (Field level), so only authorized payroll roles would see it.
