Hello community,

Our internal audit team needs to perform a spot check on our raw material inventory.

What is the standard screen or report in Acumatica to filter exclusively by raw material class, show the current on-hand quantities, and export/print it so the auditor can physically verify stock with the warehouse manager?

Any advice on the best report or navigation path would be greatly appreciated. Thanks!

Hi @Ariyair ,

Below are ways to get details-

1. Physical Inventory with a count sheet (best for an audit spot check)

This is Acumatica’s built-in counting process, and auditors usually prefer it.

  1. Physical Inventory Types (IN208900): create a type such as “RM-AUDIT”. Set it to select items by Item Class, and choose your raw material class or classes.
  2. Prepare Physical Inventory: generate a count for that type and warehouse. This takes a snapshot of book quantities at that moment.
  3. Print the Physical Inventory Count Sheet from the Physical Inventory Review screen. It lists item, location and lot/serial.
  4. The auditor and warehouse manager count. You then enter the counts on Physical Inventory Count, review the variances and either complete the count or cancel it.

The main benefit is a blind count: the count sheet can leave out book quantities, so whoever counts isn’t biased by them. You also get a recorded variance trail.

2. Inventory Summary (IN401000): quick on-screen view

This screen shows On Hand, Available and other quantities by warehouse and location, and you can export it to Excel from the grid toolbar. The catch is that its filter doesn’t select by item class, and it’s mainly built for looking up one item at a time. It’s fine for spot-checking a few items, but awkward for a whole class.

3. A Generic Inquiry: the most flexible on-hand list

If the auditor just wants a list to check off, an admin can build a small Generic Inquiry in about 15 minutes:

  • Tables: InventoryItem, joined to INLocationStatus (on-hand by location) or INSiteStatus (on-hand by warehouse), plus INSite and INLocation for the names.
  • Parameter: Item Class, so it filters to raw materials only. Warehouse is a useful optional second parameter.
  • Columns: Inventory ID, Description, Item Class, Warehouse, Location, Base UOM and Qty On Hand. Add an empty “Counted Qty” column if you want the auditor to fill it in.
  • Exclude zero-quantity rows, then export to Excel from the toolbar. If you need a formatted printout, publish it to the menu or link a simple Report Designer layout.

Some versions also include an Inventory Valuation report with Item Class and Warehouse filters. It shows on-hand quantity and value, which is useful for the financial side of the audit, though it isn’t laid out for counting.

Hope above helps!
