Splitting a Sales Order into Individual Orders for Configured, Serialized Vehicles?

During a recent prospect demonstration, an interesting question came up regarding sales order management, product configuration, and serialized manufacturing.

Scenario:

The customer manufactures custom-configured vehicles using chassis supplied by an external manufacturer. Each chassis has an assigned VIN, which is used to track the vehicle throughout production.

A customer may initially place a single sales order for 10 vehicles, all with identical configurations. However, due to chassis availability and varying inventory lead times, the vehicles may not enter production simultaneously.

For example:

  • One sales order is entered for 10 identically configured vehicles.
  • The first three chassis become available and enter production immediately.
  • Four additional chassis arrive several weeks later.
  • The remaining three enter production once their chassis become available.
  • Each vehicle is tracked individually by its manufacturer-assigned VIN once production begins.

Business Requirement:

Although the customer initially places one order for all 10 vehicles, the manufacturer would like the ability to subsequently split that order into 10 individual sales orders, each retaining the original configuration.

This would allow each vehicle to have its own sales order, production timeline, VIN association, and ultimately an individual bill of sale.

Question:

Does Acumatica support a standard workflow for splitting an existing sales order containing multiple quantities of an identically configured item into separate sales orders while preserving the original configuration details?

More specifically, I’m interested in understanding how this would interact with the Product Configurator and Manufacturing modules, particularly if production orders have already been generated for some of the vehicles.

Would the recommended approach be to split the sales orders before generating production orders, or is there a more appropriate workflow that allows the original sales order to remain intact while independently managing production, VIN tracking, and billing for each vehicle?

Interested to hear how others have approached similar scenarios involving configured, serialized products with staggered production schedules.

Yes - invoices are generated from shipments, not sales orders so you could have up to 10 invoices from one sales order with 10 sales order lines. You may need to tweak the out of the box invoice slightly to include the VIN.

You would have to create 10 lines on the SO even if the configurations are the same. Make sure the stock item is serialized. When 3 arrive, create a production order with qty 3, link to SO, check preassign lot/serial numbers on the general tab of Production Order Maintenance, enter the VIN.

I understand this isn’t as automated as the prospect likely wants, but this is the way to handle it natively.

Thanks for the insight! That makes sense from a production and VIN-tracking standpoint.

To clarify, the prospect doesn’t necessarily need 10 separate sales orders per se. Their primary requirement is the ability to generate 10 individual invoices or bills of sale, one for each configured vehicle, as they complete production at different times.

Assuming we maintain the original sales order with 10 separate lines, would we be able to invoice each vehicle independently as production is completed, with its respective VIN/SN reflected on the invoice?

Perfect, that addresses the primary requirement. They don’t necessarily need separate sales orders, just individual invoices or bills of sale for each completed vehicle. We can handle the VIN presentation through a report modification if necessary. Appreciate the clarification!

@elijahr83 one adjustment to josborn02's steps, since these are configured items. When chassis arrive, create the production orders from the sales order itself: Create Production Orders on the More menu of Sales Orders, selecting just the lines for those vehicles. Each production order is built from its line's configuration, at that line's quantity. The link is one production order to one sales order line, so three vehicles means three production orders of qty 1, each linked to its own line. Then preassign each VIN as josborn02 described. That option is only available when the item's serial class assigns numbers When Received rather than When Used. This is 2026 R1 behavior.
