Releasing Parts - Limitations and System Flags

Is there someway to send an “approval” flag if a part gets released without an attribute filled out or a technical drawing attached to it?  I’d like to introduce some systemic control over engineering releases to make sure we are filling out data fields.

I think some companies implement a PLM solution such as Arena to formally manage this process.  Using a CAD PDM in combination with a CAD connector to Acumatica might also help.

Hello,

Attributes can be marked Required:

It may be possible to create a GI that lists new Stock Items with no attachments, then add a Notification based on new records without attachments appearing in the GI.

I think it will be difficult to identify one missing attachments, such as: if a new Stock Item has some attachments, but not Engineering Drawings.

I checked the latest version, 2024 R2, and there is no Approval process available for new Stock Items. I looked, but did not find, Approval of new Stock Items in the list of Ideas on Acumatica Community. Please add your ideas to the Ideas of this community so we may vote.

Laura - can you still “save the record”?  I.e. can I build it out partially and fill in the required attributes before it can be moved to “released” or will the requirement prevent a user from saving what is built out so far? Since engineered drawings are the “primary” attachment we use, I think just searching for an attachment alone would be helpful.

Hello,

If an attribute is Required, then the Stock Item can’t be saved when the attribute is blank.

It seems your the Attribute needs to be optional, and can be blank at first…but at some point it can’t be blank.  Maybe you have a Generic Inquiry  that looks for Stock Items with Blank Attribute, that have been used on a Quote or a Sales Order (example). And you have a Business event that monitors the GI for new records:  when a Quote has been entered for an item that has a blank Attribute, then notify [Employee].

Ah I see - Unfortunately that won’t help.  Many times stock items need to be built out over time and certain attributes live as place holders.  The goal would be to get all “required attributes” checked or filled out prior to someone releasing it.

PLM solutions are costly but effective.  What we need is a quick way to start tracking to make sure that all of our ERP records have a product engineering source of the truth attached to them.  All of this data is available now in Acumatica, its just a matter of parsing it and displaying it for my product engineering team.
