Releasing Materials automatically from the Work Center locations instead of the "Default Issue From" locations

Our production lines use the same inventory items across multiple buildings and production areas. Each work center has dedicated inventory locations that are physically closest to where the material is consumed. However, when material is issued to production, Acumatica defaults to the item's single "Default Issue From" location. We then have it set up to pull inventory from the next available location if there is none available in the Default location. We understand that each user can change the issue location during the Material release process, but we are faced with several challenges related to this task.

  • Additional manual steps for every material issue to change locations.
  • Increased risk of selecting the wrong location.

  • Inventory inaccuracies when material is physically consumed from one location, but system transactions are recorded against another.

  • Difficulty maintaining accurate on-hand balances across multiple buildings and production areas.

We’d like the system to automatically determine the issue location based on the work center, production order, or warehouse location hierarchy. Releasing materials would proceed as such:

  • First issue material from the location assigned to the work center.
  • If insufficient quantity exists, issue from the nearest approved location based on predefined priority rules.
  • Fall back to the item's Default Issue From location only when no work-center-specific inventory is available.

This would improve inventory accuracy, reduce manual intervention, and better support manufacturers that store and consume the same materials across multiple production areas or facilities.

Manufacturing organizations with decentralized inventory locations could maintain more accurate inventory balances, reduce transaction errors, and streamline production reporting by aligning material consumption with the location where inventory is actually used.

The newly added “Default Putaway To” location gave us a temporary secondary location to store inventory, but it still defaults to the “Default Issue From” bin location when inventory is released to work orders. It didn’t quite give us the automated control we were hoping for.

Hi @mkolpack

Work centers don't hold a location in Acumatica, so they can't drive this directly. The standard way is to set the location on the material lines of the BOM. Work Centers only has a Warehouse field, and the issuing location comes from the material line itself.

On the Bill of Material, each material line under an operation has its own Warehouse and Location fields. Since every operation is tied to a work center, you can set the location on each material line to the bin at that work center. That location carries over to the material lines of the production order. When you release materials, or when they backflush, the system takes them from that location instead of the item's Default Issue From location. The same item can sit on different operations with different locations, which is the per-building behaviour you're after. This way, you can have multiple BOMs that issue the same material from different, predefined locations.

One thing to watch: that location is where the system looks first, not a hard restriction. If there isn't enough quantity there, it can fall back to FIFO/FEFO (based on your issue method) and pull from other locations.

If your buildings are separate enough, you could also set each one up as its own warehouse. Default Issue From is defined per item and warehouse, so the defaults would split by building on their own. That's a bigger structural change, though, so I'd only consider it if the buildings really run as separate stock points.

Acumatica doesn't have an automatic "work center → nearest location → default" chain. It can be automated through customization, but the design depends on your requirements. The first option that comes to mind is adding a default location field to the work center, so the BOM and production order material lines pick it up from the operation's work center, falling back to the standard default when it's blank.
