Hi all,

We are preparing to roll out change management for our Finished Goods BOMs in Acumatica Manufacturing and would like your advice on the best approach.

Our FG BOM includes packing materials, an unpacking glove component, consumables, operations (10, 20, etc.), work centers, run time and run unit, labour cost per hour, tools, overheads, scrap factor and batch size.

The challenge: packing materials and artwork change often at customer request, and Head Office (Marketing) hears about this first. The production details (operations, work centers, run times) are known only by the factory.

We are considering two options:
1. Head Office maintains the FG BOM and sends it to the factory with the sales order.
2. A Factory BOM Leader maintains the FG BOM, but only after Head Office provides an approved document with the finalized packing details.

Questions:
- Which approach works best in practice, or is there a better one?
- How do you control and approve BOM changes (for example, revisions or an approval workflow) instead of relying on Excel or email?
- How do you split responsibility between Marketing, Purchasing and the factory?

Thank you for your help.

Have you considered using Engineering Change Control module?  It let’s people make changes to a copy of a BOM and you define who needs to approve it before it becomes the new standard.  It gives you a platform to formalize your change process.

@RuwanK Paul's pointed you at the right tool. Since only the factory knows the routing, I'd go with your option 2 and let the ECR replace the approved document from Head Office.

Marketing raises an Engineering Change Request (AM210000) against the FG BOM. Picking the BOM and revision copies everything into the request: operations, materials, tools and overheads. Marketing edits the packing and artwork lines and leaves the routing alone. Each line shows a Change Status, so the factory can see exactly what was inserted or updated.

Purchasing fits as a second step on the ECR approval map (Assignment and Approval Maps, EP205500), so new packing items are sourced before the request is approved.

Once it's approved, the factory BOM leader clicks Create ECO and saves the order it opens. While the Engineering Change Order (AM215000) is on hold, they can adjust operations, work centers and run times, then submit it for the production manager's approval. Commit Changes to BOM creates the new revision on hold. Clear Hold and save to make it active.

On BOM Preferences (AM101000), select Require ECR/ECO for New BOM Revisions so nobody makes a revision straight on the Bill of Material screen. The ECR Approval and ECO Approval tabs each take a Pending Approval Notification template, so every approver gets an email from Acumatica when a change is waiting on them.
