Question

Appointment Billing

Hello,

I have been noticing an issue with the Appointments Billing action. When I run Appointment Billing it does not copy the Appointment Log Notes over to the resulting Invoice report. At times it does copy the notes but then this is not consistent, resulting to manual intervention by having to copy each line’s note to the invoice.

Is this a Bug? Anyone else experienced this issue ?

Kindly assist in giving insight on this.

Best regards,

John Kihiu

@johnkihiu60 this looks like you need to check the report where the invoice reports has appointment log information. If it is not available you need can add that to report

Hello @ranjithduraisamy72

When an appointment is billed, the appointment log notes are usually copied over to the invoice line notes, which we are using on the report.

The issue might be in the workflow that copies over the log details, which works at certain times

@johnkihiu60 Is it taking the notes from the Appointment line items and moving them to the invoice line items? Or is it taking the notes from the Appointment entity and moving them to corresponding invoice lines?

Acumatica does the former by default, so if you are doing the latter, that is probably a customization somewhere that is not working properly.

Hello @johnkihiu60

If the user needs to copy line notes from an appointment to an invoice, the user can select the “Copy Line Notes to Invoice” check box on the Service Order Types screen.

Thanks

Hi!

The setting mentioned on the previous comment (Copy Line Notes to Invoice), will work to copy the notes added the the Details tab of the appointment. This works on standard Acumatica.

If by “copy the Appointment Log Notes”, you mean notes added to the lines on the Log tab of the appointment, they will never be copied to the invoice. (Unless there is a customization)

Example of the Copy Line Notes to Invoice functionality:

  1. Added a note on the Details tab of the appointment.
  1. When user clicks Run Billing, this note is copied to the invoice line:
  1. In the standard invoice report, the note appears under the item:

I hope this helps. Maybe if you an share more details about how the Service Order Type is configured? (Generated Billing Documents… etc) Maybe there is a specific bug related to your configuration?
