Changing warehouse when picking

We have a customer who wants to use multiple virtual warehouses to allocate stock.

In reality, all of the items are in the same physical location.

If a particular warehouse is selected on the sales order, so in turn the shipment, is it possible to change the warehouse that the item is picked from when using the Automated Warehouse Operations/handheld device?

Hi ​@jbarnett14 In Acumatica, the warehouse selected on the sales order and shipment determines where inventory is picked from during the Automated Warehouse Operations process.
Once the shipment is created, the handheld device follows this assignment and does not allow switching the warehouse during picking.

Given your scenario where inventory is physically stored in a single location but logically separated into multiple warehouses, this setup may lead to operational constraints during picking.

@nasir is 100% correct.

Sales Orders/Shipments in the backend drive what is seen in the WMS modules. You cannot change the Warehouse used on a Sales Orders/Shipments from the WMS modules.

(Note, in 26R1, our team recently introduced the ability to update the Location at the WMS level [but cannot update the warehouse]: AcumaticaERP_2026R1_ReleaseNotes.pdf page 223)

 

In general, once a Shipment is created (Sales Order has been released), it is no longer possible to update the Warehouse for these documents.

 

It is totally do-able to use virtual warehouses, but your client would need to have a firm idea of what item is in what “warehouse” as they may run into an issue where they physically have the item, but the On Hand quantity is in the “wrong” warehouse.

As a side-note/workaround, they should be able to use Transfers to move quantities of items systematically to the “correct” warehouse to fulfil Shipments if they are blocked in this scenario. 

 

Is there a primary reason for this setup? Generally, Warehouses are used to represent one overall physical location, with locations separating smaller or “virtual” areas within a Warehouse.

 

If possible, using Locations (and possibly using the standard settings to limit use of items in specific locations) would likely lead to less instances where items are prepared physically, but are not available systematically. 

In 26R1, using Locations would be even easier, as there would be no need to use a Transfer to move quantities to the “correct" area for picking.
