Hi,

I have a scenario where I need to determine whether Acumatica provides an option to consolidate multiple shipped Sales Order lines into a single invoice.

The customer may fulfill multiple lines across different Sales Orders for the same customer, but they want to generate one consolidated invoice covering all those lines.

I understand that if shipment is not created for a Sales Order line, we can add that line directly to an invoice. However, in this scenario, the customer wants to consolidate lines that have already been shipped and confirmed into a single invoice.

Hi @ranjithduraisamy72 ,

Yes, Acumatica natively supports consolidating multiple shipped Sales Order lines across different Sales Orders into a single invoice.

While un-shipped order lines can be manually added directly to an invoice, order lines that have already been shipped and confirmed must be invoiced through Acumatica's Prepare Invoice workflow.

How to Consolidate Confirmed Shipments into a Single Invoice

When shipments have already been created and confirmed separately:

  1. Navigate to Sales Orders > Processes > Process Shipments (SO503000).
  2. Set the Action dropdown to Prepare Invoice.
  3. In the selection criteria, filter by the Customer.
  4. Check the boxes for the multiple confirmed shipments you want to combine.
  5. Click Process (or Process All).

Acumatica will evaluate the selected shipments and automatically group them into a single Sales Invoice (SO303000), provided the consolidation criteria below are met.

Method 2: Consolidating Across Orders Prior to Invoicing (Alternative Fulfillment Workflow)

If the lines across different Sales Orders are being fulfilled at the same time:

  1. Open the Shipments screen (SO302000) and create a new shipment for the customer.
  2. Click the Add Order button in the grid toolbar.
  3. Select and add lines from multiple open Sales Orders for that customer into that single shipment.
  4. Confirm the shipment and click Prepare Invoice. This generates one consolidated invoice for all lines on that shipment.

Hope above helps!!

Hi @ranjithduraisamy72,

Yes — Acumatica does support consolidating multiple shipped Sales Orders into a single invoice, as long as the shipments meet the conditions for aggregated billing.

Option 1: Generate One Invoice from Multiple Shipments

  1. Open Process Shipments (SO503000).
  2. Select Prepare Invoice in the Action field.
  3. Select the shipments to invoice.
  4. Ensure Bill Separately is cleared.
  5. Click Process.

If the shipments belong to the same customer and are eligible for consolidated billing, Acumatica will generate a single invoice containing all selected shipment lines.

Option 2: Use the Add Order Action on an Invoice

You can also create a new invoice and use the Add Order action from Invoices (SO303000):

  1. Create a new invoice for the customer.
  2. On the Details tab, click Add Order.
  3. Select the shipped Sales Orders you want to include.
  4. Save the invoice.

The Add Order dialog can display Sales Orders that have already been shipped, allowing you to consolidate multiple shipped orders into one invoice.

Important Considerations

  • The Sales Orders must belong to the same customer.
  • The Bill Separately option must not be enabled on the order type or document.
  • If Bill Separately is selected, Acumatica will create separate invoices rather than a consolidated invoice.

Additionally, if operationally feasible, multiple Sales Orders can be consolidated into a single shipment and then invoiced together.

I hope this helps!

@ranjithduraisamy72 In addition to above.

  • Bill Separately: Clear this setting on the applicable Sales Orders.
  • Compatible invoice settings: The same customer alone may not be sufficient. Differences in customer location, currency, payment terms, tax settings, or other invoice header values can cause separate invoices.
  • Shipment eligibility: The shipments must be confirmed and must not already have been invoiced.
