Input Needed -Do you include control GL account for AR in Account Group?

Hello everyone!

 

Do you have a business cases when you need to include control AR account in Account Group?

Could you please share your experience?

I know it is not recommended setup, but I try to find out what the problems can occuer?

Including the AR control account in an Account Group is generally not recommended because AR accounts are system-controlled and tied to subledger integrity.

From experience, some business cases where this comes up include:

 

Trying to reflect AR balances in Project reporting (WIP/Revenue visibility)

Custom financial reporting where users want customer balances aligned with project data

 

However, it can lead to several issues:

 

Data integrity risks between AR subledger and GL/Project module

Double counting or misclassification in project reports

Unexpected results during releases and allocations

Potential reconciliation challenges between AR and Project balances

 

Typically, it’s better to use:

Revenue or WIP accounts mapped to Account Groups

Or reporting (GI/Reports) to combine AR and project data

 

So while it may seem useful for reporting, it often creates more complications than benefits.

We had a client that in a previous system (SL) had their AR amounts linked to the Account Group equivalent.  They wanted to be able to report from the PMBudget / PMHistory tables what the AR balances were project by project against the project income and expenses.  We did attempt this in our testing prior to go-live, but found that while you could have the AR recorded correcting when the invoices were created, when the invoices were paid, the AR did not correctly reverse out of the project.  We did not proceed with this set-up when they went live.
