Hi everyone,

On construction sites in Vietnam, safety is still often run on paper checklists, Zalo photos and Excel trackers, separate from the ERP where projects, subcontractors and costs live. Main contractors, and especially FDI contractors, need one consistent safety record they can show to owners and auditors. We want to share how S4 Consulting approached this with S4 eSuite Site Safety (VN Site Safety), a solution we built inside Acumatica Construction Edition.

What makes site safety in Vietnam specific

  • National technical regulation: inspection checklists need to follow the structure of QCVN 18:2021/BXD, the national technical regulation on safety in construction.
  • Many subcontractors on one site. Most safety issues belong to a subcontractor, so each issue needs a clear owner, a due date and evidence that it was fixed.
  • Permit to work for hazardous work such as hot work, work at height, confined space and lifting, with pre-work checks and sign-offs.
  • Bilingual teams: Vietnamese site engineers and foreign project managers need to read the same record.

How it works in Acumatica

Site Safety Dashboard: open and overdue corrective actions, completed inspections, average compliance score, issues by hazard category and failed items by subcontractor

  • Safety inspections linked to project, project task and subcontractor, built from checklist templates by work type. Each inspection gets a compliance score against a pass threshold.
  • Stop work on critical failures: the inspection records stop-work status, stop time and the time work may resume, and related permits are controlled during stop-work.
Safety inspection on a lifting checklist: 5 passed, 1 critical failure, compliance score 83.33% against a 90% threshold, stop work flagged and a corrective action created from the failed item

  • Corrective and preventive actions (CAPA) with the responsible subcontractor, due date, after-fix photos and verification by the safety officer.
  • Escalation of overdue actions, which can run daily on an automation schedule, with escalation levels and reassignment to the project manager.

  • Permit to work for 8 types: hot work, work at height, confined space, electrical work, lifting, excavation, demolition and other hazardous work. Check steps are configured by permit type and can include gas testing, lockout/tagout (LOTO) and fire watch. Subcontractors can request permits within their access rights.
  • Mobile: site engineers and safety officers complete checklists in the Acumatica Mobile App and take photos at the inspection point.

  • Same platform as the project: records link to Project, Project Task, Vendor, Employee, Project Issue and Daily Field Report, and a REST API is available for integration.
  • Vietnamese and English on the same data.

A question for the community

How do other Construction Edition users handle site safety today: Project Issues and Daily Field Reports, a dedicated safety app integrated with Acumatica, or a custom build? We are especially interested in how you handle subcontractor accountability and permit to work. Happy to compare notes.
