Hi! Thank you for putting some focus on the change order process. One issue that I don’t believe I wasn’t able to clearly draw attention to in the survey is the ability to use standard inventory rates in the change order process. 

Business case example: We have a project on progress billing, set up as a lump sum. Project has a change order that is going to require an additional week onsite.  Ideally, we would log a change request by adding in our standard rates for labor hours (per position), equipment and materials. However, because the change request will not populate standard inventory rates, we have to run the change order calculations outside of Acumatica via excel document and add in.

To make the change request process more usable, we should be able to select where the change request/change order finds the rates and then price out the change order directly in the system.

Change Order process.  As a sub we are doing the work and issuing a change order request.  The customer actually issues the change order.  Here is our process.

  1.  Everything starts with Change order Request, whether it is a proposal or extra work performed via  a ticket or a change request for negotiated work.   We found it necessary to add a udf field called CO Request type. Starts out as proposal or T&M Tracking 
  2. Once the ticket comes in from the field, it is priced.  At that point the status changes to T&M or Lump Sum and a change request is sent to the client.  Even though it is on the change request, those that are T&M or lump sum ( ie performed) are included as change order for revenue recognition.  IT WOULD BE NICE is there was an option to include change requests of a certain status in rev rec.  
  3. We are using the non-stock inventoryID for our pricing.  One issue is you can do sales price by customer but NOT job.  This would be a great enhancement to allow sales price list per project.
  4. When the client issues the change order, we pull CORS it into the change order screen.  
  5. We saw the 26R1 will address the issue of putting the cor available once it is reversed at the change order level.  This will be helpful.  
  6. When we do the billing monthly, we produce a change log from the change request screen
  7. All change orders are already approved ( ie when we get the change order paperwork from the GC).  This is when we bill it.  
  8. Additional thought …. GI’s for contract on GI’s would be great to have a GI for contract revenue showing original contract, change orders, change requests (work done) to include from #2 for a revised contract, and the same on the commitment side
  9. Happy to have someone from the team participate in any discussions to improve these features.
