Hello. I am in the process of setting up email profiles for employees so they use the native email function to send emails from Acumatica via the templates.

Question: Can you create a user profile for an employee, but use a shared email address. I want to have our customer service group all have the same email address attached to their profile so when a SO is ready to be sent via email that they are all sent via the customer service internal shared mailbox address vs their own personal. I considered having the “To” be from the shared mailbox , however I didn’t want to do that because I have sales persons who will need to send the SO from the email function but want it to come from their own personal. ( setting up a personal email profile and having this work I have had success already so it just the shared question setup).

Has anyone ever been able to do this ??

Thanks

Hello @JReppard

Acumatica does not directly support shared mailboxes, however I have seen other partners and customers take advantage of the comments section of the following KB discussing what methods/configurations they used in back-end of O365 to be able to get Shared Mailboxes to work within Acumatica.

Please review this community article's comment section for possible ways that the client will need to configure in back-end of O365 so Shared Mailboxes work in Acumatica.

Sorry to bring back an old thread.

Per latest notes in the linked article, I’ve not been able to get the instructions for shared accounts working without licensing accounts, there are some underlying tech changes that probably need to be made to fully support shared accounts.
Ref the following idea about Azure Mail.Send & SMTP.Send :

To my knowledge, the above change would need to happen for shared mailboxes to be usable without licensing them.

To use a shared Microsoft email account currently
As far as I know the only way is:

  1. Set the Email account to be its own Login (With Username and Password)
  2. License the user specifically for email.
  3. Log in specifically as that user.

This does require use of a licence, unfortunately despite some extensive experimentation I could never get the older instructions people refer to to work when I was testing in 2025.
