With the recent Acumatica 2025 R2 update, our employees lost access within their “Internal User” role to see any payroll documents (this is basically the sole reason most of our employees are logging and we had this role modified for them for this purpose only). I have been troubleshooting with Acumatica for a month now without success on either removing the restriction from the Internal User role or just having a simple solution on how to have our employees be able to access all of their payroll documents in one place. They say that this is a known update for security purposes and only the admin role can access pay stubs and the last email from them suggested we either remove the restriction or create a new user role that has that access. I had not yet tried to create a new role so I tried that route and will put the steps below in detail. Basically this ended with the same issue as trying to remove the restriction from the current role (note that I had a 45 min meeting with Acumatica support trying but failing to do just that). Our employees log in, see My Payroll Documents Screen and nothing is there where the Pay Stubs all should be. Is anyone else having this issue and have you found a workaround? This is honestly terrible timing at year end for employees to not have this visibility. One other note, if this is helpful to anyone, but in communicating with Acumatica support, they reference the security configuration at the branch level--I can see at the branch level, the configuration settings have the access role as the administrator. There doesn’t seem to be a way to change this nor do I think we want to. But they keep pointing to this and one solution early on was to give our employees admin access so they can see their pay stubs, which for obvious reasons is a terrible idea. Thanks for anyone out there who may be able to help with this! The last email with Acumatica said she would be on vacation until Jan. but I would love to have a fix before then. Below are the steps that I just tried in creating a new role:
- Created a Pay Stub Access User Role successfully
- Went into Access Rights by Role screen and while in the Pay Stub Access Role, changed the Access right from "Inherited" to "Delete" for "Payment, Payroll Documents filter and Tax Form Batch"--all descriptions under "My Payroll Documents"
- Checked for this user role and at the Payroll level now "My Payroll Documents" is now set to the "Delete" access right
- Went into Access Rights by Screen and under the Hidden Box, set both of the Pay Stubs screens to "Delete" access right for the Pay Stub Access User Role
- Went to the My Payroll Documents Screen and clicked on Tools: Access Rights and confirmed the Pay Stub Access User has the "Delete" access right for this screen
- Went to the Pay Stub Screen and clicked on Tools: Access Rights and confirmed that My Pay Stub Access User has the "Granted" access right for this screen (as opposed to "Revoked")
- Gave one of our employee users the Pay Stub Access Role and logged in under his user. I can access the Payroll Documents Screen and there are no pay stubs showing up for him at all.
- There seems to be a restriction at the Pay Stubs level that we have not been able to remove
