Hi, 

I have a client that just started using Canadian Payroll in Acumatica this year. Basically, I thought I was just able to use the PTO Adjustment Screen to enter the opening balances for their vacation and then jsut run payroll. However, when we go to use PTO hours for their first pay, it says that PTO does not allow negative, which is in fact the setup the client wanted. 

 

My question is what are the steps to have the opening balances of a PTO bank entered in Acumatica?

Thank you for your question.  I notice you have an open case.  I was able to find a temporary workaround so you can pay Paid Time Off.

Workaround Steps:

  1. In the Employee Payroll Setting, go to the Paid Time Off tab and add another line with the PTO bank using a date (e.g., 1/5/2025; the date may vary).
  2. Check the box to allow a negative balance.
  3. Fill in the other fields for the PTO Bank.
  4. Create the paycheck with the VAC earnings.

jlaforge, released PTO Adjustment with the initial balance will be applied to the first paycheck with the same or later transaction date.

In your case, you need to:

  1. Create and release the initial balance as PTO adjustment.
  1. Create and calculate a SPECIAL paycheck for a desired pay period but with a transaction date equal to or after the transaction date of the PTO adjustment

Your PTO adjustment will be included

and it will be reflected in the paystub

and PTO report

 

Alternatively, you can set the negative flag to the PTO Bank as a first step and work with regular paychecks.


The issue with using the PTO balance is not being able to update the amount value. We had setup the initial hours but it doesn’t update the monetary value which is why we are getting the negative amount error message. 

Below is an example of a cheque I did when allowing negative value in the PTO. 

 

It is now with level 3 support. 


jlaforg, for Canadian Payroll an Adjustment paycheck (screen PR302000), still has the functionality to correct the monetary amount of the PTO. 

Later it should become part of the PTO Adjustment screen (PR306000).
