Hello all!

We’re exploring ways to improve the demo experience inside Acumatica, especially demonstrations across different industry verticals (Manufacturing, Construction, etc.) easier.

Here’s what we would love to hear from you:

  4. What are the biggest pain points when demoing Acumatica? Sometimes our hosted version is slow. Working on that internally. 
  5. What would make demos easier, faster, or more compelling for your team? I’d love an ETO project to show and also a good project production order from construction project.

  3. What seems to work really well when your team demos Acumatica today? we prepare a tailor fit demo using the prospects information and sample data for our enterprise prospect. It’s usually successful and got a good impression of our solutions from the audience.
  4. What are the biggest pain points when demoing Acumatica? sometimes it’s our connection from our hosted server, or there were times that updates were being uploaded/publish while presentation is ongoing, thereby causing some errors popping up.
  5. What would make demos easier, faster, or more compelling for your team? -  our demos are never fast; we already accepted that since we always tailor fit the demo with the business requirement of our prospect. This is our way of showing a more compelling solution to our prospect. But I would say if we can create a dashboard to be shown to CEOs or Presidents; the company’s stakeholders in no more than 10 minutes because they usually don’t have the time to sit on a demo.

  4. What are the biggest pain points when demoing Acumatica? Caching.  Acumatica needs a scheduled process like MRP or indexing that can be scheduled to keep the screens freshly cached.
  5. What would make demos easier, faster, or more compelling for your team?  See option 4

    • Self-hosted environments.

  2. Which roles do you demo most often?

    • Our demo team consists of sales and pre-sales.

    • We primarily demo to prospects, and secondarily to existing customers.

  3. What seems to work really well when your team demos Acumatica today?

    • Demonstrating realistic, end-to-end scenarios with clearly defined use cases. For example: how a salesperson creates an opportunity, generates a quote, how the opportunity progresses through its lifecycle, and how a sales order is created once the deal is closed.

    • Demoing our own Acumatica-based solutions tailored to each prospect, showing a portion of their actual business process implemented in the system so they can better envision their entire operation running on the platform.

  4. What are the biggest pain points when demoing Acumatica?

    • Preparing environments with the necessary demo data. Sales Demo environments are often not a good option outside the US, or when we need to demonstrate custom screens and workflows.

    • Publishing customizations for personalized demos is a slow process.

  5. What would make demos easier, faster, or more compelling for your team?

    • The ability to spin up predefined “snapshots” in a SaaS environment with custom demo data, combined with strong performance. Faster customization compilation would significantly reduce overall demo preparation time.

Hi Vlad, here’s summary of our experience.

    • Self-hosted & sandbox

    • Customers, Prospects, Consultants 
  3. What seems to work really well when your team demos Acumatica today?
    • Our team focuses on showing the full end-to-end business process during the Acumatica demo.
    • We walk customers and prospects through real workflows while addressing gaps with clear workaround solutioning.
    • We also highlight our own customizations, which helps them see how Acumatica can be tailored to fit their specific needs.
  4. What are the biggest pain points when demoing Acumatica?
    • The biggest challenges come from gaps between customer expectations and current system capabilities.
    • These show up through recurring queries raised during demos, missing or limited functions in certain modules, and occasional system bugs encountered during live scenarios. e.g. Items created using Template Item (Matrix) having error showing invalid records.
    • This can interrupt demo flow and requires additional explanation or workaround positioning to maintain customer confidence.
  5. What would make demos easier, faster, or more compelling for your team?
    • Our demos often cannot be delivered quickly because preconfigured presales data does not fully align with each company’s unique business processes and data structures.
    • For every new prospect demo, additional time is required to reconfigure the system and create new sample data to match the customer’s scenario. While the current presales demo environment is helpful, it does not cover enough real-world variations across industries.
    • Demos would be significantly more efficient if presales data included a wider range of scenarios and sample configurations—such as predefined User Roles for the Construction Edition and more market-specific dashboards. This would allow the team to focus on demonstrating business value rather than spending time on repetitive setup.

    • We try to demo all the roles but focus on production and supply chain.
  3. What seems to work really well when your team demos Acumatica today?
    • Our team focuses all documented processes, start to finish. We want to flush out the all the impacts up and downstream. That’s where we’ve found the most “undocumented” gaps.
    • We also go over all of our customizations add on modules.
  4. What are the biggest pain points when demoing Acumatica?
    • The largest pain point is diving through the couple hundred pages of changes to see what’s relevant to us.
  5. What would make demos easier, faster, or more compelling for your team?
    • I’d appreciate having visibility to at least high-level module changes before the release.  As an example, we signed with an ISV in December for a time tracking module to go to the Summit in late January and find that Acumatica’s new version will be better than what we just committed to.  
    • Only focusing on one update a year, it would be nice to have a resource guide that shows if you’re coming from last year’s R2, to this year’s R2 version. It would cut down on a ton of back and forth from release notes.

ii.    e.g. a paper manufacturer vis-à-vis a tool manufacturer. We spend a lot of time here
iii.    e.g. Web-Commerce – ready to go with WEB-STORE connector and instance

iv.    e.g. Real Worl Innovation – how I use  WHATSAPP to create a CRM opportunity or CASE in Acumatica.

    1. Using a copied version of our production tenant to try out new work flows, GI’s or Reports.

    2. Resetting the U100 environment

    1. An easier to install self hosted package so we could test customizations without using the SaaS environment. The current files don’t make desktop installation easy.

    1. We do discovery before Demo, and try to focus on customer pain points
    2. Adding some customer data/scenarios to make what they are seeing relevant to their day to day
    3. End to End, Quote to Cash, Bid to Payment, etc.
  4. What are the biggest pain points when demoing Acumatica?
    1. Tenant slowness of unlicensed demo instance
    2. Refreshing licenses for things like AP Recognition
    3. Refreshing demo data to current years
  5. What would make demos easier, faster, or more compelling for your team?
    1. Be able to quickly launch a new tenant with current years Sale Demo data
    2. Demo License versions that don’t expire often, could be limited in transactions per day etc.
    3. Integration options pre-configured to dummy accounts for things like Shipping Integration, HubSpot, Commerce/Shopify, Avalara etc.

  1. Dedicated Demo Environment We maintain a specialized demo server in a Private Cloud Subscription (PCS) environment. It includes all our industry-specific customizations, commonly used Independent Software Vendor (ISV) solutions, and a comprehensive dataset tailored to our vertical. This setup ensures that demos stay relevant to the prospect's industry—even if the conversation takes an unexpected direction—avoiding irrelevant examples like comparing Legos or laptops to something like a 15-foot ported rolling steel door kit.
     
  2. Pre-Demo Preparation Process We start with an online pre-demo questionnaire, followed by a thorough discovery call. The actual demo then involves our sales team and a senior implementation consultant presenting directly to the prospect.
     
  3. Tailored, Non-Scripted Demos We avoid generic, scripted demos. Instead, every session is customized around the prospect's specific processes and the exact pain points uncovered during discovery. Our deep specialization in this industry allows us to showcase how we address complex business challenges through proven industry knowledge and documented successes with similar companies. We steer clear of "canned" presentation materials (such as PowerPoint slides) during live demos, as they can disrupt engagement and cause confusion. If needed, we provide those materials separately afterward. Our focus is on high engagement: we encourage plenty of questions and collaborative discussion, helping both teams explore innovative, creative ways the Acumatica platform can solve their problems.
     
  4. Technical Considerations We encounter typical technical issues, but these are rarely related to core software stability or the environment itself. The modern UI has introduced some stability concerns and unclear error messaging, so we currently limit its use in demos to select workspaces only.
     
  5. Opportunity for Post-Demo Feedback Acumatica has significant potential to collect and share post-demo insights with partners. While partners should have flexibility to conduct diverse, independent demos that highlight their expertise, Acumatica could standardize demo feedback collection. For example, provide partners with a simple link to an online survey they can send to prospects immediately after a demo. Responses would deliver valuable data to:
    • Help partners refine and improve their future demos.
    • Enable Acumatica to enhance marketing, product positioning, and related processes. An added benefit: surveys sent directly from the publisher (rather than the partner) would yield candid insights into the prospect's perception of partner fit at this pivotal evaluation stage.
    • Acumatica could also leverage this tool to create incentives to partners who consistently score high marks on their demo feedback. This would encourage partners to use the survey tool to improve their demo process and achieve higher “scores”.

    Unscripted demo’s with enough prep to know when you need to talk over a series of loading screens
  4. What are the biggest pain points when demoing Acumatica?
    It runs like a slug. The system seems to continually get slower. It’s also the most frequent complaint from users etc.
  5. What would make demos easier, faster, or more compelling for your team?
    Increasing Acumatica’s responsiveness, if I could say “boom it’s done”, that would be aces. Right now I use a lot of “and once this finally completes...”

    1. We have self hosted demo environments.  We usually have a couple on the go.  One that is more “Vanilla” without add-on products, one with our own custom products, and then one or two others that may be connected to Shopify, EWA, or other add-ons as needed,
  2. Which roles do you demo most often?
    1. We are usually demoing to prospects and I typically use the “Admin” user for the whole thing as that tends to be easier.  We also do occassional demos to existing customers for an add-up/upsell (i.e. adding CRM, Canadian Payroll or some other add-on module)
  3. What seems to work really well when your team demos Acumatica today?
    1. Personalizing always helps.  Even if it’s just updating colours and logos this can go a long way.  If we can load in some customer specific vendors and items or project info when we can that helps too.
  4. What are the biggest pain points when demoing Acumatica?
    1. As a Canadian based VAR having a demo environment that is in CAD with the Canadian Localization and provincial taxes set up and Canadian Payroll configured would be amazing.  To do a payroll demo we pretty much have to spin up our own demo from scratch.
    2. While the core finance and distribution modules always have current data, other modules are quite out of date.  While we often like to customize this as much as possible and create examples that are specific to our customers, we do like to use the demo data to be able to show things when unexpected questions come up during a demo or if a demo comes up with short notice
      1. The Project module doesn’t have a lot of current data.  All the projects are 4+ years old.  Having a few more current (or current looking projects) would be nice.  As well, having more T&M sample projects would be great, as that is the type of project we tend to encounter more, as most of the sample projects are construction/progress billing style.
      2. There is a lot of “noise/old messy data” in the Services module demo data because there are many unscheduled old appointments, etc.  As well, I find that I always need to generate schedules, calendars, etc. Keeping this more up to date would be a huge help.

    1. Creating an agenda, clicking through each screen prior to the demo, use of favorites, showing/hiding workspaces, use of prospect supplied data

    1. The demo environment is SLOW.  We’ve tried addressing this on our end and have hit a wall.  It may be that the demo data is too old/complex, but this has been a constant battle.
  5. What would make demos easier, faster, or more compelling for your team?
    1. Provide more current demo data and a faster environment (we exceed all recommended hardware specifications by a long shot)

  2. Which roles do you demo most often? Using the role administrator, the demo usually covers from a lead to a customer, the quote-to-cash process (and the procurement to pay process). 
  3. What seems to work really well when your team demos Acumatica today? New UI, adding a UDF , modifying GI
  4. What are the biggest pain points when demoing Acumatica? Preparing the data to be able to link all the modules together. For example: Configurable matrix item in an opportunity in foreign currency including a warranty contract (deferred revenue) linked to a project that has related items and will create an equipment to be fixed by the Service after a case has been received by the customer portal. This item is shipped via Fedex and received via WMS.
  5. What would make demos easier, faster, or more compelling for your team? Having pre defined business scenarios for procurement to pay and quote-to-cash.

           1. Dashboards, Modern UI, Functionalities end-to-end

           1. Mobile app. Sales Demo missing some industry standard working setups in Projects,              like Proper Completed project Accounting methods. 
               Fixed Asset module is not a good module to demo or use. the Acumatica stepchild.
  • What would make demos easier, faster, or more compelling for your team?
           1. Predefined demo scripts for specific business scenarios

  3. What seems to work really well when your team demos Acumatica today? The showing of dashboards and use their real-life or day to day business flows (Procure to Pay. etc.)

  4. What are the biggest pain points when demoing Acumatica? Too many modules and functions can be overwhelming and feel like its not an easy system espcially with clients coming from accounting applications. No payroll for our region.

  5. What would make demos easier, faster, or more compelling for your team? I still prefer to have a custom demo which is the pain but it makes it a worthwhile demo. Maybe if they were different industry scrips ready made by acumatica it would be easier.
