User Role Import Scenario drops roles

Hello! I found a few posting but they’re 1+ year old posting and wondered if anyone has experience this issue recently.

In my scenario, I have 3 active directory users with different number of roles.  I used the “Import Users w Role” scenario to import their roles. What happens is the first user will have all the roles imported, the 2nd user have some imported and the 3rd user have nothing imported.

Below is my screen shots:

Roles are imported successfully.

The first user has all the roles imported but only some of the 2nd user and none for the 3 user.

Hi @Neil Cantral ,

We’re on 2024 R2 and so our mapping screens aren’t exactly the same.  From yesterday’s presentation, which was wonder, by the way…. You mentioned you’re on 2023 R2.

So here is my import screen that I updated to mirror yours as best as I can.

I then imported the roles for two AD users.  There’s no errors.

And I reconcile what was in my upload and what was imported …. all the roles for the first user imported successfully but the second user have dropped roles.

I guess I will have to import, reconcile, create a new import, and repeat.

Thanks for your suggestion. :)

Hey hoaw,

This is curious, and I’ll take a look for sure.

Just a quick question, are you utilizing User Types at all?

Hi @awomack ,

Thanks for looking into this for us.  No, we do not use User Types, for our user profiles.

Easier way around this would be to create a user role and then assign users to that role which contains many roles. Then you wouldn’t have to mess with this really complex import scenario.

@mclarke88 ,

Are you saying to manually add the users to the roles?  My scenario is just an example of three users.  I have over 200+ AD users across 5 tenants to grant access to the roles.  I am trying to find a way to import the roles for each users so I do not have to do this manually.

The process should work for all users/roles that I imported.  I need to understand why the import drops roles.

Thank you!

Nope - using user roles (look user roles up on the sitemap) you can then add 200+ users all to the same user role and not have to mess with it by hand at all. In the users screen there isa user role option by user.

@mclarke88 ,

I tried to import one role for 4 users.  The first user gets the role but the rest doesn’t.  It’s the same issue, the import is dropping the roles.

Do your users have user roles? That could be part of the issue.

@mclarke88 ,

Each user was setup to have at least one role before I tried to test importing additional roles.

Hi @Neil Cantral,

Do you have any insight into this issue that I’m having?

Thanks!

It looks like your import scenario is only applying a role once for all users in the source - i.e. if you applied ‘AP’ to a user, anyone else lower on the list will not get that role assigned.

Could be an issue with the inclusion of the “Roles -> Role Name” key.

I don’t use the AD integration, but I was able to get the following import scenario to apply all roles consistently.
