How to handle a Rejection in the Approval Map process for Bills and Adjustments

Hello,

I am trying to figure out how to handle a rejection in the Approval map process where it would send an email back to the AP processor notifying them of this rejection.  Also, the AP processor could be one of two people (email addresses). Is it possible to control whom the rejection email gets sent to as well?

Hi @mike1021 

The short answer is unfortunately you cannot using out-of-box functionality. The reject is end of story in the existing design meaning rejected document is not assigned to anyone let alone to send notification. You will need customization if what you are looking for is a must have for you. Also you may want to have a look at my below post.

We use a dashboard tile for this.  Instead of sending an email (there get to be far too many of them) and worrying about how to route it, we have an AP dashboard with a few key tiles on it that the employees look at.  It’s the first tile we learned how to add when we converted to Acumatica in 2019 and it still works great today.   Simple functionality included in Acumatica.  Here’s a sample:

 

You can use Business Event to notify the AP Processor of Rejection. Just monitor Status Rejected on an Inquiry and use the Record Inserted option. 

We ask the the approvers to add a note to the note section of the document with a reason for rejection. You can then display the reason in the Rejection Email as well.
