Tracking Which Invoice or Proforma Billed a Change Order

We’re looking for a way to track which Invoice or Proforma a specific Change Order was billed on in the Project module. Specifically:

  • Is there a field within the change order,  or a report that shows which Proforma or AR Invoice includes a Change Order?

  • If the Change Order was partially billed, is there a way to see the amount invoiced to date and what remains?

  • What’s the best practice for tracking Change Order billing in Acumatica?

Any tips, custom reports, or screen references would be much appreciated!

In Acumatica, Change Orders are designed to update the project budget, not to act as direct billing entities. Because of this, there is no standard field or direct link that shows which Proforma or AR Invoice a specific Change Order was billed on.

How billing is tracked

 

Billing flows through the following structure:

 

Change Order → Project Budget (PMBudget) → Proforma (PMProforma) → AR Invoice (ARTran)

 

So, billing visibility is indirect and budget-driven.

We understand systematic implications of Project Changes. 

I don’t quite understand the perspective that Change Orders aren’t considered billing entities, as they definitely play a crucial role in revenue streams. Change Orders should not simply update the project budget; they also represent additional income from scope changes and are essential for project profitability.

When Change Orders aren't clearly tied to Proforma or AR Invoices, they can easily get lost in the shuffle, leading users to track them outside the system just to know when they were invoiced. This lack of direct visibility can create challenges in effectively managing values outside the original scope.

You’re absolutely right — Change Orders are critical for revenue and profitability.

In Acumatica, they drive billing indirectly by updating the project budget, and billing happens from that revised budget via Proformas and AR Invoices. However, there’s no out-of-the-box link showing exactly which invoice a Change Order was billed on.

 

For better visibility, most teams rely on the Revenue Budget for invoiced vs remaining amounts, and use custom fields or reports to link Change Orders to Proforma/AR lines.

 

So while the system ensures accurate financials, direct traceability typically requires a small customization.
