Sales Order - Pickup Ready Notification

My business has some customers that come and pick up their orders.  Shipping would like to automatically notify them once the order is picked and packed.

 

Currently, we select Customer Pickup as ShipVia, it allocates, picks, packs, then sits in Shipping status until someone notifies Customer Service it is ready for pickup, then they contact the customer.  Once the customer picks up the product it moves from Shipping to Completed - for inventory and order tracking purposes.
 

 

I thought I just needed to create a conditional Automation Schedule based on Status and ShipVia for a Business Event for an Email Notification - (new type).

It will not let me tie the Automation to the Business Event.

 

 

I get this warning on the Automation Schedule, but as you can see my Business Event is set as active, and it is saved.

Hi ​@adaughenbaugh95,

It looks like your Business Event Type is “Trigger By Record Change,” which just monitors a GI for whatever conditions you set before it activates.  You need to change it to “Trigger By Schedule.”

As a heads up, I’ve never had luck adding an existing schedule to the Schedule tab in Business Events.  I always Create Schedule, which will trigger a pop-up screen for you to do so.

So, the By Record change could have worked on it’s own or I can run it on a Schedule ?

 

I may try both and see which works best for the site.

I don’t want to guarantee anything without being able to mess with it myself, but just speaking from my experience I probably have a 10:1 ratio on Record Change Type to Schedule Type Business Events.  Every organization is different of course.  So yes, Trigger by Record change is certainly at least worth trying.  And if it works as intended, it would function “live” sending your emails rather than just a scan twice a day.

Some standard-issue tips for Business Event reliability - keep the GI as simple as possible to meet the needs of the scenario, ensure any fields used in Joins are also in the Results, carefully select the Fields to Track (I think in your case it might just be SOOrder.Status?)
