Paid to Date on Projects

My clients frequently request an ability to show Paid to date values for a specific project (AP and PR), and dollar received on a job (AR)

 

cash entries are not job costed in the current iteration of the system. 

 

What workarounds do other partners utilize to satisfy client requests for paid to date values on a project?

With 2025R1, you’ll see some improvements and additions. 

  • Open AP & AR Reports by Project have been replaced with AP & AR Reports by Project that allow selection of Open or Open and Closed, with additional Customer/Vendor/Project totals accumulated (Paid/Adjusted as example).  This allows for clients to see AP Bills & AR Invoices that have been paid/completed.
  • We’re adding date specific cost projection analysis and a new project financial vision that allows looking at costs & revenue by Day / Month / Quarter / Year, with associated chart, simplifying the data collection for users.

This is building the ground work for more cost/revenue analysis reports and functionality in future releases.

We’ll be happy to show these things at Summit, and once our 2025 R1 Beta is available for download, you will have it available for review.

@jsheehan56  We created two reports - AR Docs By Project with Paid Amt and AP Docs By Project with Paid Amt.  I can send you the files, they will not upload here.

@Heidi Dempsey I wanted to update this dialogue. Support has told me that both of the reports you mentioned are no longer offered by Acumatica as they only work correctly with Single Project per AP Document setting is in use. I only have a small minority of clients that use this setting.

 

They have also advised me that there are no designs in the 2023 R1 update that provide cash information on projects. Frankly I’m quite surprised that no one at Acumatica sees this as a need, it comes up in every single implementation I do.

If I recall, when the reports “with paid amount” were deprecated in 2021 R1, we added a paid/adjusted amount column to the AP Open Documents by Project (AP634100) and AR Open Documents by Project (AR634100).

This was added a part of our Paid Amount and line-level balances support in AP & AR Reports.

Understanding these show “Open” documents, we are also reviewing / designing some reports that will provide a Project Cash Flow.  No release assigned yet, but will keep everyone updated.

@joelhoffman any update here if Acumatica is going to start to track payment information (outgoing or incoming) on projects?

Comes up as a need in literally every implementation. Just came up today again, every client is shocked to find out that projects track cost and revenue at an accrual basis only.
