Email Template Recipients Per Customer


I’m trying to setup an email template to be send by a business event triggered when a SO is set on the Credit Hold status, however for the email recipients I want it to be send to an internal employee but it should be different by each customer and easy to change it at anytime without modifying the email template, can this be accomplished by adding a new mailing to the customer and manipulate the email recipients in the mailing & printing tab of the customer profile? If so, what should be the setup?

Hi Pinny,

There’s a couple of places you could store this “internal” contact or pull this from, some options may depend on which features you have enabled.

You could look at the Business Accounts screen and pull the “Owner” field which would be an internal contact.

Link to the Customer’s default salesperson if you’re using commissions, but this would be a bit trickier to link to, as I think you’d have to connect a few more tables.
 

Or if you’re looking for something specific to the Sales Order, I’d look a the Owner field on the SO itself.  This will default to the user that created the SO.  Once the order is completed, it is locked down, but should be editable in stages prior to that.

 

Link from the Business Account, Customer or Sales Order to the Contacts table to pull in the email address of the correct contact in your inquiry that supports your business event and have that field be the value in your “to” field of your email template.

I’m looking to send this notification to an independent person not the one who created the SO and not the salesperson on the account, and I might need to send it to two people at the same time in some cases, what should be the best way for this?

Maybe look at creating a User Defined Field for the Customer to store the email values?  You should be able to store multiple emails separated by semicolons in a single field.
