Issue inventory while service order remains open

What’s the best way to be able to issue stock out when consumed in a service order while the service order is still on going for certain period of time. The service order can take place in weeks and stock is used over time. This has caused issue on balance sheet and stock take. It looks like there is variance in the stock take but actually not because the stock is no longer there but the book qty says it’s there.

We have a similar issue where a stock item is used on a service appointment but we don’t bill immediately.

We had the calculation for our Book quantity for stocktake changed to not include items that are on ‘FS Allocated’.

Hi! I think I can reply your question, but I need more information. We also got the question through a case.

  • What do you mean with “to issue stock out when consumed in a service order”? Do you mean actually creating inventory issues?
  • Can you provide more details about (please make reference to the names of the screens and the names of the fields in Acumatica): “This has caused issue on balance sheet and stock take. It looks like there is variance in the stock take but actually not because the stock is no longer there but the book qty says it’s there”

As I understand so far, the company creates a service order that will take place during multiple weeks and it remains open dutring all this time. I would assume they create appointments from the service order as the work is performed, and the stock items are consumed, so this information is tracked on the appointments. 

Would they create an invoice for each appointment, or only one invoice at the end for the entire service order? I ask this, considering that the only way possible in standard Acumatica to create an inventoy issue from a service order or appointment is through the billing process. 

I can imagine that the problem is related to the inventory summary showing the quantities specified on the service order’s as estimated quantity as FSBooked, while the service order remains in Open status. Is this  correct?
