Billing Expired Contracts

Hi everyone,

We are currently in the process of configuring Acumatica and haven't gone live yet. Our reseller has informed us of a potential issue in the Service Contracts / Unearned Revenue module that we wanted to address early on.

The problem arises when a service contract expires while we are waiting for information from the sales rep or customer. If the contract expires before we have all the information to rebill the contract, we are unable to bill/renew the contract. The solution presented is for us to change the system date to allow the contract to be billed. This solution however creates an invoice date in the past. If we change the invoice date then the deferred revenue schedule is created based off the invoice date and not the service contract start date. This results in an inaccurate reflection of our revenue, as we continue to provide services during the expired period while gathering the necessary information.

Our reseller mentioned that we can manually modify the deferred revenue schedules, but this approach seems impractical for customers with a large number of locations and contracts (e.g., 200+ locations).

Has anyone encountered a similar issue during their setup phase and found a workaround or a native solution within Acumatica that could help us manage this more efficiently? Any insights or recommendations would be greatly appreciated.
