Create Employee Time Cards for this week for a previously suspended employee

We have an employee that was on leave for a few months and is now back and I need to create a new time card for this week.  When I go into Time and Expenses, and Employee Time Cards and pick this employee, it only allows me to create the next time card after the employee went on leave.  Surely I do not have to create each time card individually until I get to this week?

Hi @MFarnsworth10

You are correct. No direct option available to create Time card in bulk. Here is a related thread with similar requirement.

Regards,

@MFarnsworth10 Unfortunately there is no way to skip these time cards however, there is a feature which you can create empty time cards for employee for the weeks he/she was on the leave.

Below link can help you with details of it but in short you can select Employee in question on Employees (ScreenId=EP305000) and click Generate Time Cards on the More menu of the form. On pope up screen select the Until Date and it will create all missing time cards till the date you selected.

Thank you.  That was very helpful and worked well.  My only question is that the timecards were created in the “released” status and I have to change them to “on hold” for use.  Is there a setting or an option to choose which status they are created in or is it only “released”?

@MFarnsworth10 are you referring to the 0.00 time cards from November forward?  Why wouldn’t you want those released?

My response was crafted with AI assistance, tailored to provide detailed and actionable guidance for your query.
If an employee was previously suspended and now needs a time card for the current week, follow these steps to ensure they can submit their time:

Step 1: Verify Employee Status

  1. Go to Payroll > Employees (PR.20.30.00).
  2. Search for the employee and ensure their Status is set to Active. If the status is still Suspended, update it to Active and save the changes.

Step 2: Ensure Employee is Assigned to a Time Card Policy

  1. Navigate to Time and Expenses > Employees (EP.20.20.00).
  2. Select the employee and confirm that they are linked to a valid Time Card Policy under the Time & Activities tab.

Step 3: Manually Create the Time Card

  1. Go to Time and Expenses > Time Cards (EP.30.10.00).
  2. Click + New Record and select the employee.
  3. Enter the appropriate dates and details for the current week.
  4. Save and submit the time card.

Step 4: Check Automation for Future Time Cards

If the time card should be auto-generated in the future, ensure the Employee Class settings allow automatic time card creation:

  1. Go to Payroll > Employee Classes (PR.20.10.00).
  2. Check the time card settings to ensure employees in this class have automatic time card generation enabled.

After completing these steps, the employee should be able to submit a time card for the current week.

@KristenHanson84 Sorry,  the 0.00 time cards from November til now I am good with being in released status.  But if I am going to use this feature going forward, the future time cards I would want in “on hold” status.

Hi @MFarnsworth10

New (future) Timecards created from ‘Employee Time Cards’ screen, by selecting required Employee will be ‘On Hold’ status just like regular Time cards one creates

ScreenId=EP305000

The ‘Generate Time cards’ feature mentioned by  @hkabiri helps you fill dummy Time cards for the period gap, for which you do not want to create regular Time cards.

Hope this clarifies.

AI was used to create this answer

  • Reactivate the Employee – Ensure the employee's status is set to "Active" in the Employee profile.
  • Verify Payroll Settings – Check that the employee is assigned to the correct payroll settings and time entry rules.
  • Create a Time Card – Navigate to the Time & Expenses module and create a new time card for the current week.
  • Submit & Approve – Enter the required time details, submit, and ensure it's approved per company policy.
  • Process Payroll – If applicable, include the time card in the payroll processing cycle.

Thank you @vkumar.  So just to clarify there is no way to  ‘Generate Time cards’ for a group of employee in the “on hold” status?
