Creating a Pro Forma Invoice showing unreleased time


Hi - we are wondering if there is a way to create a pro forma time and material invoice to show unreleased time entries. We do not want to release the time entries until they have been approved after the pro forma invoice has been sent.

Yes! In Acumatica, you can generate a pro forma Time & Material (T&M) invoice to show unreleased time entries without actually posting them. Since Acumatica does not have a built-in "Pro Forma Invoice" for T&M billing, here are a few ways you can achieve this:

Option 1: Use the Project Billing Preview (Recommended)

  1. Go to: Projects β†’ Billing β†’ Run Project Billing
  2. Select the Project for which you want to generate the invoice.
  3. Check the "Include Unreleased Transactions" option (if available in your version).
  4. Click View Transactions to preview the billing details without releasing them.
  5. Export to Excel or Print as a Report to send as a pro forma invoice.

πŸ”Ή This allows you to review time entries before actually creating an invoice.

Option 2: Create a Draft Invoice Using a Custom Report

  1. Go to Reports β†’ Create a New Report (or Modify an Existing One)
  2. Base the report on the PMTran table (which contains time entries).
  3. Add a filter to show only unreleased time entries for a specific project and date range.
  4. Format the report to resemble an invoice (show labor costs, rates, and totals).
  5. Print/PDF the report and send it as a pro forma invoice.

Option 3: Duplicate an Invoice and Delete It Later

  1. Run Project Billing and generate an invoice with the unreleased time entries.
  2. Do NOT release the invoice.
  3. Print/PDF it and send it as a pro forma invoice.
  4. If changes are needed, simply delete the invoice and regenerate a new one after approval.

I don’t see an option to include unreleased transactions. Also when I run project billing (option 3), the unreleased entries are not pulling in.
