Employee Payroll Settings > Consent to Electronic W-2's

We recently used Aatrix for W-2 processing but ran into an issue where many employees did not receive a mailed copy of their W-2. After investigating, we discovered an Employee Payroll Setting that enables consent for electronic W-2 filing on a per-employee basis.

We have no idea how this setting was enabled for the majority of our employees or when it was introduced in Acumatica. Users don’t have access to modify this setting, and some employees who had it checked have never even logged into Acumatica.

When we filed in 2024, this wasn’t an issue—everyone received a mailed copy. However, we can't find a clear pattern as to which accounts have this setting enabled.

Does anyone have insight into how this might have happened?

We are currently on 2023R2 - Build 23.209.0023.

I don’t know a definitive answer I am just thinking outside of the box…

when did you go live with Acumatica payroll? Were the employees that it was not checked on for employees hired after your go-live?  

What version were you on when you did the W2s for 2024?  I always point it out and make sure that clients know that it is there and what it does but it hasn’t always been there and that is why I ask.

Shannon - good questions. We’ve been live with payroll in Acumatica since 2022. All new hires from 4/2024 - today have it UNCHECKED. However there are still some employees that were created in the system since day one and have the box unchecked as well. No consistent them there.

 

Last year we were on 2022R2. I was thinking about spinning up a local Acumatica instance and restoring a backup from 2022R2 platform and seeing what settings were in place then.

 

I did quickly CTRL+F search the 2023R1 and R2 release notes but didn’t find any hits related to this.

Brandon - The checkbox was new in 23 but I cannot remember if it is V1 or V2, I never noticed if that checkbox turned on when we updated people or not, but I am wondering if maybe it did because if it is nothing happens if you do not tell Aatrix to send electronically.

I also looked in the release notes but when those tax settings changes are made, I haven’t seen them in there.  

It would be interesting to see if you do spin up a 22R2 and they aren’t there if they do it when you update it, I might have to do the same today.  

Since you see that all employees from 4/2024 are unchecked this might be helpful also, maybe you had an upgrade or update around then?

I know I am asking more questions than answers, but I think the only answer is going forward make sure that it is checked for all new hires, but I feel that is the obvious. :)
