Hi! We have an email set up in Acumatica that is specially used to receive AP Bills. Incoming Mail Processing tab on the Email Account is set up like below. It should be submitting any attachments to the Incoming Documents screen.

However, we have not been able to receive any of the attachments unless I go to the Send and Receive Email screen and perform the action to ‘Receive All.”

I thought the documents would be received automatically… do I need to perform the step to process “Receive All” every time new emails come in?

Thanks!

Yes @jzhu In Acumatica, the automatic processing of incoming emails and attachments can sometimes require manual intervention, depending on how the email account settings are configured. Based on your description, it seems that while you have set up the Incoming Mail Processing tab correctly, you still need to perform the "Receive All" action manually to process incoming attachments.

Key Points to Consider

  1. Incoming Mail Processing Setup: Ensure that the Submit to Incoming Documents checkbox is checked on the Incoming Mail Processing tab for your email account. This setting is essential for automatically submitting any attachments found in incoming emails to the Incoming Documents screen.
  2. Automatic vs. Manual Processing: Although you have configured the email account for incoming processing, Acumatica may not automatically process emails unless a specific action is taken. This can happen if the system is set up to check for new emails at specified intervals or only when prompted by a user action like "Receive All" on the Send and Receive Email screen.
  3. Email Queue: If automatic processing is not functioning as expected, consider checking if incoming emails are being queued in the Incoming Emails screen . This allows you to see all incoming emails and take necessary actions manually if required.

Thanks!

HI @nasirh85 Thanks for the Key Points to Consider! Do you know if there is a way to prevent having to manually process receiving the documents? What is preventing them from being submitted automatically or not being in the incoming email screen? Thanks!

Hi @jzhu to prevent the need for manually processing incoming documents in Acumatica, there are several strategies and configurations you can implement. Below is a few solutions and what might be causing the current issues:

Solutions to Automate Document Processing

  1. Dedicated Mailbox Setup:
    • Acumatica recommends using a dedicated email account specifically for receiving AP bills. Ensure that the Submit to Incoming Documents checkbox is checked in the Incoming Mail Processing settings for this mailbox. This setup allows all incoming emails to be processed automatically, including any attachments.
  2. Regular Scheduled Processing:
    • If automatic processing is not functioning as expected, check if there is an option to schedule regular intervals for the system to check for new emails and process them without manual intervention.
