Training Description: This webinar provides a set of lessons that illustrate project accounting processes in a midsize company. In the course, you will learn about the project accounting processes in Acumatica ERP. After you complete the course, you will have an understanding of the way the project accounting capabilities of Acumatica ERP are integrated with the general ledger. You will learn about the functionality of the billing rules that are used for project billing and the ways you can manage the billing process. Also, you will learn how to control changes to the project's budgeted values and commitments. You will also learn how to use time activities and time cards to track time spent on projects.

Training Syllabus: The program is covered over three days as follows:

  • Day 1: Advanced Billing. In this session, you will learn how to make sure that the project is pending billing or is ready to be billed, how to run project billing for a single project or multiple projects, how to process the documents that have been generated during the project billing, and how to review how the project’s actual amounts are updated with the billed amounts. You will also learn how to create a rate table and rate type, define a rate sequence and a rate table with particular rates, use billing rates for billing projects. Moreover, you will configure the pro forma invoice workflow for a project, create, print, and send a pro forma invoice as an email. You will postpone the billing of a pro forma invoice line, write off a pro forma invoice line partially or fully, and create an accounts receivable invoice based on a pro forma invoice.
  • Day 2: Grouping Invoices. Modifying Billing Rules. In this session, you will learn how to configure project billing to create a single invoice for the project or to create multiple separate invoices, how to bill the project with different billing rules assigned to the project tasks, bill a project task separately from the other tasks of the project, and bill project transactions that are associated with particular account groups separately from the other. You will learn how to configure billing rules for progress billing, for time and material billing, configure combined billing rules with multiple steps of different types, use billing rates and item prices in billing rules. Also, you will create a credit memo for a project. Additionally, you will learn how to capture project costs using project transactions, make the system create a project transaction based on a GL transaction, and create a project transaction without posting to the general ledger.
  • Day 3: Single-Tier Change Management. In this session, you will learn how to enter a billable time activity and card related to a project, and log the time spent for the project, bill a project for employees’ time spent working on it. Also, you will learn how to configure a change order class, create a change order for a project, update the project budget and cost commitments with the change order, review the changes made with change orders in the project budget, and prevent direct purchases for the project.

Instructors: Candice Francis & Thomas Martin

Candice has 7+ years of experience in the construction industry. She comes from the Construction ERP market and joined the Acumatica team last year. During her tenure she has worked with a variety of contractors from General Contractors to Heavy Civil. Her experience has allowed her to understand the market requirements and deliver best of breed products that meet the day-to-day business needs of contractors. Candice’s continued focus is to enhance the user experience in the Construction Edition within Acumatica.

In addition to Product Management deliverables, Candice has experience in pre-sales demonstrations, consulting, and business process mapping.

Tom Martin is a Product Manager (Construction). In this role, he draws upon over 20 years of industry experience to ensure that Acumatica meets the needs of internal and external stakeholders. He has been working in the construction industry for 20 years in multiple capacities, focusing primarily on operational success including the implementation and management of software packages during that time. Mr. Martin time in construction has included roles such a Project Manager, Process Improvement Specialist, and Owner.

Prerequisites­

You should complete the Accounting for Projects course.

None. Attendees will be provided with a cloud instance and tenant for training purposes.
