Delete/inactive Business Classes


Hello,

 

We are changing our internal Business Account Classes and have been told by Acumatica we cannot delete or mark a Business Account Class as inactive, even when all records have been updated to a different class. 

 

This feature would be beneficial, as I have slim options to prevent users from using the class we are attempting to remove. 

 

This option is available for Customer Classes, but not Business Account Classes.

I would very cautiously say that’s just not true. In my (very limited) testing, it’s absolutely possible.

Can you provide more explanation/proof? We have been live for about a year and after talking to Acumatica Support, they stated it cannot be done.

I created a Business Account Class, assigned it to a Business Account. The Class cannot be deleted. I unassigned the Class from the Business Account. The Class can be deleted.

Arguably, you may have more complex scenarios after a year in production, but I don’t believe Business Account Class is used in very many places. If you resolve all the places it’s used, it should allow deleting.

@emily02 hi! i just tested this out in my sales demo.

i looked at the business account classes first and found that i was not able to delete the class as the trash can icon was grayed out as shown below:

i then went to the business accounts screen (CR3030PL) and confirmed both BUSINESS and CONSUMER classes were being used.  for testing purposes, i chose to filter the business accounts by the CONSUMER because there were significantly less and i updated all the CONSUMER account classes to BUSINESS so there were no more business accounts with the CONSUMER class: 

i then went back to the business account classes screen (CR208000) and found that the trash can icon for CONSUMER was now clickable and i was in fact able to delete the consumer business account class: 

i would double check to make sure all the business accounts have in fact been changed so no accounts are linked to the business account class you are trying to delete.  If that doesn’t work, i would look into what version and build you are on.  I am running on 24.105.0036 and it worked for me!

Thank you for the detailed response. All steps you have listed we have run through already, including checking other areas, like Lead Classes or Contact Classes or Opportunity Classes as examples (those have a field to choose the Account Class type; I made sure it was no longer defaulting to the BA class we are attempting to remove). 

 

I’ve spoken to their support multiple times, digging through possible locations that could be related outside of the BA Class screen. All instances found are removed and still unable to delete the class. 

 

According to support, the issue is that we have historical data using the class. Even though all records have the class removed, it is unable to be deleted. That may be why my live version is seeing different results than the test/demo. I am running 24.111.0011 for reference.

 

it would be wonderful if we even had the option to mark it ‘inactive’ to prevent users from continuing to select that class as an option if deletion is not possible with historical data.

@emily02 you could change the description to DO NOT USE that could help notify users that it shouldn’t be used.  It won’t prevent users from saving but sometimes just seeing it helps prevent errors.

 

@darylbowman great suggestion! to add to that, I would also recommend checking all the preferences found under marketing and opportunities.  I am seeing areas that allows users to set account class defaults so it may be hidden in one of those screens as shown below:

Yes, we have. I've also run through checking our integrations for possible overlap.

I understand there are small work arounds, like changing the description. But the point of this whole post is that it seems incredibly difficult if one wants to delete a BA class. If it is tied to another location, it would be helpful for an error message or popup guide a user where the issue lies.

This is actually how Acumatica handles most situations like this, which gives a list of records blocking a delete operation. I was curious why Acumatica chose to disable the delete button instead, so I looked into the source code. From what I’ve found, the delete button is dynamically disabled if any Business Accounts exist with the current class. That’s it. I suspect you’re missing one somewhere.

Please load the attached GI and see if you get any results (after choosing your troublesome Class).

NOTE: it is set to show ‘deleted’ and ‘archived’ Accounts, in case there are any confusing results

Update to this:

I had some support with our partner WAC and this is what he found after running the GI:

 

Running the inquiry for Class CUSTOMER brings up a list of business accounts using that class.  Notice one thing unique about them?  It looks like they are all prospects and not actual customers yet.

 

Note that the GI also pulls in deleted records (like the first one on the list 00000594).  You will not be able to open the prospect record and change the class.  Any that are still valid you would be able to change/edit the class from CUSTOMER to something else.  

 

This might be what Acumatica support is talking about regarding historical records.  You can change the active ones but there will be some you can not.  Even if you clean up the ones you can, you still may not be able to delete the class when you finish.

 

I’ll stand by my request for their to be an option to “inactivate” a BA class and hope that will be added in future releases.

In my testing, deleted Accounts don’t actually affect the ability to delete the class. I would reassign all the Prospects and try again.

I appreciate the help. I would still like to maintain my position that an “inactive” option sounds ideal.

I understand. But you’re asking for functionality that doesn’t exist. If you’re serious about it, you have two options:

  • Get Acumatica to build it (submit a feature suggestion)
  • Get someone else to build it (give up dollars)
