Issuing inventory to project with price from AR sales price worksheet

We undertake periodic air-condition units’ maintenance for clients and the norm is the service and spares prices are agreed on annually. These negotiated prices differ from client to client and the AR sales worksheet handles that nicely. Expectation: All inventory hitting a client’s project either from inventory issue or project drop-ship should pick it prices from the agreed figures in the AR sales worksheet. These pricing will feed into the project billingQuestion: Can 2024 R1 handle that or this should be treated as an idea??

Purchasing Receipts - Automatically Attach PDF Packing Lists/Order Confirmations

Would like to see a customization on attaching files to Purchase Orders and Purchase Order receipts automatically. When we enter receipts for our purchase orders, looking to see if there is a customization that will automatically match up the packing list with the receipts as well as, matching up the order confirmation with the Purchase order.

Project Invoice Separates Project Task

The AR invoice for projects is showing the same inventory IDs on different lines because they are for different project tasks. Is it possible to adjust the report format so that it groups those lines into 1 line per inventory ID?I’ve tried playing around with the groupings but that is not working-I get a separate page for each inventory ID (and it still has more than 1 line).

reclass subcontract without impacting project

I’m working through the process of setting up NEW taskcodes for a project. At the moment we have existing taskcodes and have 1) budgeted them, 2) created subcontracts, & 3) recorded invoices.Mgmt has now decided they want a difference set of taskcodes. To do this I’ve:created the new taskcodes, updated the budget to set the old taskcode amount to zero & enter the new taskcode amount created a journal entry to record a reclass from the old code to the new. created change orders to reclass taskcodes from old to new.This processmaintained my GL reporting gave me the project reporting with the new taskcodes in Project Cost Reports and in the Project Cost Budget screen. This includes budget, Actuals, & open commitments.But, when I look at the resulting subcontracts I still have “actual amounts” recorded against the old taskcodes. The totals for the subcontract are correct but individual lines for the old taskcodes still have actual amounts. I realize that instead of journal

Change Order Cost - what period to they hit

I’m recording a change order to impact costs but I can’t seem to control what period they are reflected in on the Project Cost Reports. I’ve set both the Change Date & the Approval Date to 7/31/2023 but when I run the Project Cost Report the change only shows if I run it for the period 8/31/2024 (the current period).I need to be able to see this change reflect in the prior year’s period (July 2023).I don’t see a finperiod on the change order. That’s why I assumed it would be driven by the Change Date or the Approval Date.

Billing rule for mileage

We need a billing rule for mileage. There is no cost transaction. I guess we enter the actual mileage qty in project transactions. Rate would be defined by the project revenue budget unit rate.

Customer Contact in Construction

I’m looking for a couple of fields in the construction project portal:Customer Project Contact in Construction (which would pull from Customer Contacts) With the ability to have that contact flow through to invoices/change orders etc. Customer Reference Number for Projects. Again, we have a built out user defined field to capture this. But the reference number does not automatically flow through to billing.Has anyone else noticed the lack of these fields? Is everyone creating User defined fields? I’m just surprised these fields do not come standard ‘out-of-box’

Joining PMBudget & PMTran and can't get all budget records

I’m working on a generic inquiry that will ultimately become a report. I’m joining PMBudget & PMTran so that I can report transactions for a period, total transactions, and budget info. I’m doing a full join between PMBudget & PMTRAN wherePMTran.ProjectID = PMBudget.ProjectID andPMTran.TaskID = PMBudget.ProjectTaskID andPMTran.CostCodeID = PMBudget.CostCodeID andPMTran.AccountGroupID = PMBudget.AccountGroupIDThe result is giving me all records from PMTran and is correctly populating nul amounts for the budget items that haven’t been budgeted. But I’m not getting records where PMBudget has a value and PMTran doesn’t (ie, I’ve budgeted for an amount but haven’t incurred any costs yet).The Full join should populate both sides of the join with null values but isn’t.The impact is that the query is showing the total costs for a project but not the complete budget.I’m sure I’m missing something. Any suggestions?

Customer upgraded to 2024R1 and in a SO - associated with a Project, when a customer location is change on the SO header the project disappears, and disassociates all the details lines Project and Project Task.

Lien Rights Tracking

Has anyone thought of a way to track project lien rights expirations based on last labor or materials furnishing date and open AR invoices? An example would be if I last furnished labor on a project 80 days ago (last Project Transaction date is 80 days ago) and I’m still not paid (the AR Invoice is still open) and based on the project location State lien law I have to file within 90 days or I lose my lien rights. I would like a Business Event to trigger an e-mail subscriber giving me 10 days to get my lien filed.Right now we’re doing this manually by reviewing the last Project Transaction dates on projects whose AR invoices are late on the AR Aging report. Sound doable in-house? Go talk to my service provider? Too complex for anyone to accomplish? 😁Thanks!

Importing on Mass Live Projects opening balances & maintaining proforma invoice no. sequence

Implementation questions What is the simple most effective way to import 100s of Live projects into our customers new environment? Is it import scenarios and then some manual work project by project for balances etc? Is it possible to bring over projects which are midway complete into Acumatica? I.e., a project 6 months into 12-month schedule and on claim (proforma invoice) no.6 - How do we import and indicate or make the project start in Acumatica from that same reference no.6?

Ideas/Feedback: Tracking Project specific equipment

Looking for what some others are doing in this area when it comes to Projects in the construction arena and rental equipment or company owned equipment. Historically we have tracked equipment (Containers, Skid Steers, Lifts, etc) by the rental company site or excel sheets. Now that we have moved into acumatica we would like to have one place to track thsi info but be able to tie it to the project in Acumatica while building out a dashboard for the staff that maintains this info. My initial thought was the equipment model in Services but that seems geared more towards equipment you are renting. Next I though maybe a something similar to the compliance model to track and be able to use that GI for a Dashboard. Curious to get some feedback from the community on what you may be doing or ides on how we could best accomplish this in the most effective manner.

Tracking Assets that one manages but does not own

Hi everyone, Does anybody have assets that they manage but do not own? We are trying to figure out where to put them in the system. Since we do not own them, they would not be a fixed asset. Project Cost Budget Updates

Hello all! Looking for best practices and solutions in regards to updating the Cost budget of a project, We have around 7000-8000 active projects a year and on some occasions a Inventory product that we use may be discontinued. We would need to update and replace that item in bulk. We would also potentially need to do this on templates for the projects in mass. As an example: if our builders are using a Sterling toilet tank and bowl and decided that they wanted to now use a gerber tank and bowl. We would need to mass change the templates for that builder (could be many depending on how many plans they are building) and the projects that could already be active and in some stage. This is not just a part number change that we could alter the Inventory ID, this is a complete line change. we also use the system for sales orders and shipments and inventory so the parts touch that also.

The generic inquiry loads smoothly, but the pivot table is significantly slower to load

Create multiple project allocations and reverse only one.

I’m looking for a two step allocation where the first step posts a correction the sub account, then the second step would allocate to WIP. Then when the invoice is release have it auto release the WIP allocation, but not reverse the first step where the sub account was corrected. I can get it to do multiple steps and post the first correction, then the second WIP Entry, but it’s combining them into a single Allocation and Journal Entry.I have it set to never reserve the first step, only the second step, which seems like should tell Acumatica those need to be 2 separate Project Allocation transactions.

How Daily timesheet is managed and Project billing is done ?

My customer have some short terms Projects . Projects Last for 2 ,3 days . They uses employee and Equipment time cards for Posting project costs. The Challenge is since the Acumatica Time sheet is Weekly , they are not able to bill (T&M) the Customer when the project is complete . They have to wait until the week is closed.How others are managing this type of projects ? Any suggestions ?

Error when running project allocation - Given key was not present in the dictionary

When I run Allocations by Project, I am getting an error message of “ The given key was not present in the dictionary.” but only on one project. All of my other allocations ran without an issue. The project was setup from a template like all the projects are. It only has one cost on it for the month. I checked the one cost that hit and there was nothing unusual about it. Everything except the amounts and the customer appear to be the same on this project versus the other projects that ran without issue. Any ideas of where to look for the issue?
