Adding Existing (old) Fixed Assets into the FA Module

We just recently started using Acumatica’s Fixed Asset Module. Prior to this, we have kept everything on a spreadsheet and entered the depreciation via a journal entry.I have no issues entering/adding new Fixed Assets, but does anyone know the process of adding old fixed assets into the FA Module? By “old” I mean the assets that were purchased in prior years that have already been either fully or partially depreciated?When added into the FA Module, these assets should not have an impact on the General Ledger since the assets and the depreciation expense is already “on the books”.Thanks in advance for your help!

AR Aging Report: Sort by Customer Name vs Customer ID

How should we set up the Group/Sort Section to sort the report by Customer Account Name vs BAccountID?I went into the Build Schema, Looked at Sorting and Grouping, and tried to change the groupCustomer to CustomerMaster.AcctName Ascending vs CustomerMaster.BAccountID but I get the wonderful “We’re Sorry!” error... Edition: ConstructionVersion: 2022R2Thank you for your help in advance

uploading vendor payments for 1099s from a prior system

We implemented Acumatica mid-year and I was told that I could simply upload the information once I gathered the vendor number, name and amount paid in the previous system.  It starts with creating a separate account and designating it to take on balances for 1099s, but I am not finding any instructions on that, does anyone have the steps to do that?

GL Mapping and priorities

Hello everyone,We are looking for a way to change A/R revenue GL mapping. Currently we use non-stocks, however they must be received as you can see below:  We want that, during a sale, the GL account used is that of the customer location as configured in the order type:  However, despite this configuration, the accounts used by the system are always those of the non-stock record. How can we change this? Beside, do you have the help file of acumatica which explain the priorities of the differents posting settings.(which win between theses config : non stocks GL VS Posting class VS Order type/project billing GL VS Customer GL)Thanks in advance.

ACH file for Credit Union requirements.

Has anyone worked with setting up ACH export scenario which will work with a Credit Union? In the first line, the first 691000134 is the Federal Reserve routing number, while the second 691000134 should be the credit union routing number which is on the Cash Account remit settings.  101 691000134 691000134

Closing Periods

Our acumatica system has open periods all the way back to 2015 , I have been successfully able to close periods from 2015-2019.However , When I get to 2020 I can close the submodules but there are two transactions in GL in an unposted status which are preventing me from closing the period.My inclination is to delete the transaction but the “trash can” symbol is grayed out . Is this related to access rights ?. But the bigger question is (1) If I delete transactions is that going to change the sub-module balance thus causing a need to make a G/L entry to being it back in sync with one another ? (2) If I delete an entry in GL which is coming from AR, for example , does the AR module need to b re-opened before the system will allow me to delete it ? May be that’s why the trash can is grayed out ? The weird thing is I was able to close the AR module even through the G/L has an unposted entry from that sub-module.

Customers with one-off credit cards - how to hide credit cards that were only used once or a few times?

We have several customers now that are using bill payment services that send us a one time credit card number. We would like to make those not show at all after they have been marked inactive. I don’t want to have to filter them based active and inactive each time I go to their account to choose a card. Does anyone else deal with these one-time credit cards? Thank you.

Trouble Bringing P&L Figures into Dashboard

Hi All,I’ve been browsing through the forums trying to figure out how to pull P&L figures into an inquiry that shows a P&L by accountID and subaccount and create a dashboard but the data that shows up in view inquiry is wrong. Several of the expense and revenue lines are missing from the data output and the subaccounts are wrong. Also the numbers pulled in are way higher than they should be. I did used to have ledger and subledger tables in the inquiry but they made no change to the data. We also only have one branch so dont need that. Here are some screenshots.

Deferral Schedules amounts not balancing

I am working with a client who is beginning to utilize the deferred revenue module for deferred expenses\amortizations. When a schedule is created using a flex code, the transaction amounts just seem random. Here is an example of a three-month deferral: Is there a setting we are missing somewhere to balance these or is it just a manual process?Thanks, Adam

Automation schedule

Have configured automation schedule to prepare and email statements bi-monthly  but  no statements are emailed or prepared on the other hand when I view the automation schedule status there is no error and execution result is process completed, what can be the problem?

Currency Rate Rounding Up

Hello all!We recently upgraded to Acumatica 2023 R2 Update 13 (Build 23.213.0015) and have noticed a slight change in the data type of the Currency Rate field located in screens such as Funds Transfers and Bills and Adjustments. At the moment, it appears the Currency Rate is rounding up if we try to manually adjust the SPOT type. This causes a number of issues for us, as some of our accounts that may be labeled USD or CAD will sometimes be transferring EUR, and we need to change the SPOT rate for those specific use cases, which is why we can’t simply set the currency rate and rely on the value that auto fills.The issue arises where, we add a value with 8 decimal places, but the value rounds up to 3 decimal places instead, which creates massive issues for our final RGOL value. Where the field is located Setting the value to an 8 decimal place value Auto rounding after clicking “OK” I’ve checked the SQL table, and it appears the data type for this field is set to Decimal(19, 8), so I ass

Voided Payment in Wrong Month - Issue with AR GL account

At transition, the team made several errors when posting invoices and payments.  And when correcting the errors, additional issues were created.  Scenario:  AR Invoice was posted for $354k - invoice was paid by client in two payments.  When the 1st payment was applied, the Amount was not changed and the payment was posted as the full inv amount, but the payment was for $256k. Transactions were posted 11/2023. When the second payment was posted, it resulted in a negative AR. To correct the issue, the 1st payment was voided, but the void was posted in the wrong month.  Voided posted in 03/2024. To correct the incorrect month, the re-posted payment was voided (2nd Void posted in 03/2024) and reposted in the correct month 11/2023. Learned through this that you can’t void a void.  And have since reviewed a post on this forum how to correctly move an incorrectly posted voided payment from month to month. But the result of these voids is a discrepancy in the AR GL account.  It is overstated b

Project Accounting - Committed Cost

Hi Team,On the current behavior of Acumatica, The only transaction that can track the committed cost are based only in Purchase Order and Subcontract.Is there a way to consider either the Expense Receipt or Expense Claim as included in the Committed Cost in the Project Screen? It seem on the expense receipts, we already tag the project id and project task?Thank you!

How can expense management be enabled?

How can expense claims be enabled on our platform? I read that we will need to enable Expense Management from the “Enable/Disable Features” screen, however this option is not available.  Similarly, the “Time and Expenses” page has very limited options.

ARM Report: Column Formula using a specific row in that formula

realized gain/loss from currency shows 0 amount in journal transactions

Hi guys, a question on multicurrency accounting.I transfered 1000 USD from the USD bank account to SGD bank account, I received 1350 SGD and there’s a gain of 1.16 SGD here (base currency is SGD). But in the journal transaction, the realized gain/loss from currency shows 0. Then I checked P&L, it actually shows the right amount of 1.16 gain in the statement. Anyone knows why’s it like that? Could there possibly be anything wrong with the journal transaction? Thanks!

Customer Tiered Rebates

In our industry, it is common to provide monthly rebates to customers that meet certain order quantities. We could base this rebate off of monthly order quantities or monthly sales totals. For example: Tier A (0-100K), Tier B (101-250K), Tier C (251-500K), Tier D (501K+). Similar to how Acumatica processes Sales Commissions, we’d like to track sales of stock items so that we can send rebate checks to our customers that qualify for these rebates. Tier A would receive a 2% rebate, Tier B would receive a 4% rebate and so on. I can calculate this in excel, but it would be nice to have the capability built into Acumatica.

AR and AP Applications - Documents to Apply to include Payments and Prepayments in Doc Type list

In the use case of customers or suppliers having open on account or prepayment amounts it would save time and help keep customer accounts more tidy if these payments/prepayments could be allocated with a payment.For instance:Customer pays a deposit or stage payments prior to being invoiced eg $500Customer invoice is raised for products or services rendered eg $5000Customer payment to settle invoices is received for $4500 - It would help to be able to select both the above transactions during the application process leaving all transactions in a closed status.  Currently I don’t think payment or prepayments are available on the Doc. Type drop down list.I hope this makes sense.

RevisionID on the BudgetForecast screen wont appear on a GI

We are using Velixo to create a report showing current percent complete and forecasting the percent complete per month till the end of the project.  The problem I have is when pulling the Budget Forecast into the spreadsheet I need the RevisionID of last update.  I have pulled that field into the GI but it wont show up.  It doesnt even show up, but its on the results grid.  Any idea how I could get this number to show?
