Default Warehouse

We have over 30 service techs and they all drive a van that is stocked with parts they may need. Is there a way to set a default so when they use one of those parts it auto populates to there warehouse(VAN) when posting it to their appointment?

Is it possible to create PO for non-stock items from Service Order?

I’m sandboxing the 2020 R2 features and marked a non-stock item for PO (PO for Service Order) using the mobile app (in the appointment as a tech). When I clicked Create Purchase Order from the Service Order, nothing appears in the table--because it’s a non-stock item? I’ve tested before in previous versions, but only with stock items--no issue. Is there no functionality for creating POs for non-stock items through service orders or appointments? Or are there settings I’m missing?

Time Activities Approvals for Projects and Appointments

In the Employee Time Activities Screen, we have both Projects and Appointment Numbers in there. However, when we get to the Approve Time Activities Screen, the Release Time Activities Screen, and the Approve Time Activities Summary Screen, there is no concept of Appointments on that screen. Where does time on a Service Order/Appointment get approved? Should it not be summarized with all hours of a respective employee? We would need to see all hours for a respective employee in one spot for approval so as to know if their total hours are eligible for OT or anything else special.

Field Service: Appointments - Log - Calendar: What are your thoughts?

We are a field service company. We have multiple staff on one appointment and may have multiple appointments in one day. I want to minimize any pain with using tablets and software in the field. We are experiencing several “pain points” in Acumatica and I’m interested discussing how others are solving or working around issues.Some of our Big Pain Points:Appointments: Workflow no longer restricts what actions can be performed.Appointments: Paused status, staff can start a new log line. Once Appointment is Started, another log line is added.Appointments: Once Appointment is complete and a needs to be reopened, it clears the logs or if the Timecard is processed, you can’t Reopen.Appointment: It takes too many clicks to Pause, Start, Complete a line. Expectation is it should function like a stop watch or the old time punch cards.Appointment: When completing one appointment and starting another, time is lost or a back date has to take place by the staff. It would be ideal if there was some

Can I update user-defined fields in sales order when sales order is shipping

Hi everyone, I want to update an udf in sales order when this sales order is in shipping status. I tried the web service endpoint, and I find I can’t update any fields when the sales order is in shipping status. Anyone has some idea?

What permissions are required for a user to save an Appointment template?

What built-in internal role or combination of rights on a custom role is required to Save a Template from the field service Appointments screen? The error message when clicking on the clipboard and then “Save as Template” is: you have insufficient rights to access the object (AUTemplateController). The function works properly for users with the Administrator role.Thanks, Laura

Integration of Field Service with Project Accounting - Construction

Hi all,I am trying to figure best way to handle the following.Let’s assume that a new Project (related to construction edition with Progress Billing) is opened to manage the installation of HVAC and electrical installation. This project needs to monitor both costs related to equipment and labor. It would be ideal when new equipment is to be delivered and installed on site, a Service Order and related appointment is created to manage both the issue of the equipment from store to site and also to manage the time it takes to install the equipment and employees who are doing such service and capturing all related costs directly on the Project. The question I am trying to resolve is how best to record the issue of equipment and capture all costs on the Project as there seems to be 3 possible optionsThrough a Sales Order linked to Project - Seems strange and not logic to use this especially since billing of both equipment and service will be done directly through the Progress Billing functi

We have two different customer numbers set up for the same job location. (One under the old owner name and one under the new owner name) Both have have history so we cannot make one inactive or delete it. Is there a way to merge the two customers together?

void and reinvoice service order through appointment blling

I know I’m missing a step, but I can’t remember what it is. If I go to Receivables > Invoices & Memos > then Reverse/Apply to Memo to void an invoice, the service order appointments do not reappear in Run Appointment Billing. What step am I missing? Essentially, the process is that an invoice was created and released, but it needed to be voided and reinvoiced because it was inaccurate. Applying the credit memo through reverse/apply to memo successfully voids it, but how do the service order appointments return to a billable state?

Employee filtering with @me

In Generic inquiries the @me option works on parameters as a default on CreatedBy, LastModifiedBy or OwnerID fields. I need a list of outstanding Appointments where @me is an Employee on the Staff Tab of an Appointment. How to find your own Appointments? The Appointment Summary does this but does not filter out applointments where staff have completed their service logs and there are multiple staff on an appointment. I plan to use a GI as the Appointment List in the Mobile App which does this. My problem is that @me does not work on EmployeeID or Employee.UserID directly. An Employee has a Contact record and Contacts have OwnerIDs but there is no way to access this to update the OwnerID such that it can be used on the query. I am looking at creating a new Contact per EMployee and using this in the query where the owner of the contact is the employee. Is this necessary?

Service Order invoicing vs Sales Order invoicing

I’ve noticed that invoicing sales orders removes inventory (creates an inventory issue and releases it), but invoicing service orders only creates the inventory issue and does not release it. So the invoice dr debtors, cr stock sales, but the other half of the transaction (dr cost of stock sales, cr inventory) hasn’t happened. Is there a reason for this inconsistency or is it a setup issue? I really feel that users who are invoicing shouldn’t need to release the inventory issue manually, it’s an unnecessary extra step.

Mobile Off-line entry of Service Order and Appointment

We are looking for a solution to be able to enter and edit Service transactions when there is no internet or wifi available. Our customer’s service techs are often working in cooler where it is very difficult to get service on their mobile devices.Any guidance is greatly appreciated!

Is there a way to retain the filters in the Calendar Board? As soon as we refresh the screen or login on the next day we need to re-apply all the filters. It would be great if these filters could be saved for a user

Adding link to Business Event email

Is there a way to add the link of the screen you want to navigate to on the email notification that goes out when the event is triggered. For example: a business event goes to our dispatch team to create an appointment from a specific service order. Can we add a link to that email so they just click on that and it opens up the service order that needs the appointment made?

Workflow / Customization Project - Choose Customer by Location Address

In Field Service we mostly care about the service address, which would be the Customer Location address. We need to be able to have the user, in the Service Order screen, enter in an address and have the system match it to a customer record and populate the Customer field and the Location field with the match. I am not a developer and would like to know if this is addressable either by a Workflow type customization. I have tried using Actions/Navigation:Search Records but the closest I have come is to allow a popup of the Customer Location GI. This could possible work if the user could use the popup GI and search the address, select the customer and have it populate in the Customer field with the corresponding Location ID. Any ideas or pointers would be great. Thanks.

Service Contracts

Currently: We are working with managed service contracts where initial configuration of devices (serialized equipment) and any issues that will come up are billed against the agreement.These contracts are typically for 1 year, paid upfront and recognize revenue monthly. There is no schedule to these contracts, because customers send these devices in randomly to get reworked and repaired.So what would be needed is a contract that can be pre-paid for a certain amount of hours/or $ amount and then labor from appointments would be charge against these hours/$ amount.Can we solve this through service contracts in Acumatica?Create a master contract, add one contract for the annual billing and one for the schedule with just one appointment and then add more appointments as they come up?So time could be captured through those appointments.Would it be possible to create a report, where we can see, how much time billed through these appointments has accumulated against the pre-paid amount from t

Use Branch to adjust time zone

I am looking for a solution to assist my customer service team to handle calls and schedule field service appointments from other time zones. We have Branches set up and the Customer Service staff are instructed to select the Branch from the Acumatica title Bar. When doing so, we would like the users Time Zone to be adjusted so that the Branch and the time zone allow the Customer service person to create appointments in the customer’s local time zone.

When are you typically billing a maintenance contract? All upfront At the beginning of each period (month, quarter, etc...) At the end of the period Other?If billing at the beginning of the period, how do you manage billing of additional items/services there were not part of the original contract? Send a separate invoice for the additional items/services immediately Bill the additional items/services on the next period billing Other?

"Object reference not set to an instance of an object" error appear whenever we tried to create a log from Staff Screen

"Object reference not set to an instance of an object" error will appear whenever we tried to create a log (press start) from Staff screen. And after that the tick button will appear but we couldn’t even select it to press save and we need to quit the screen and refresh.Any advise or assistance on this?
