Direct Inventory Transaction with Project Tagging

Upon creation of direct issue, when i input the item and warehouse, I also encode the project when it came from. Is there a way to default the project id, task and cost code for the issuance of item, if I already received it in purchase receipt with a project transaction? Thank you!

Project Quote default mailing and printing setings

You can set the default mailing and printing settings for customers on the customer class or the customer account for Sales Order documents. I do not see the same functionality available for Project Quotes. That will be the option to print a customers specific project quote.Is this correct or am I missing this setting?

Currently, when we go to print the Change Order Form, it prints the revenue budget of the change order. Is there a way to set up a separate form to print the Cost Budget portion of the change order?

Drawing Logs - Usage Questions

I’m trying to understand the best practices around using drawing logs. How are most construction companies adding, organizing and searching through plans when uploaded as a drawing log. Our the complete pdf files that could be 100+ pages added as a single drawing log? When including drawing logs to RFI’s, submittals, and change requests are new drawing logs created and uploaded with only the specific page from the plans that is needed.Our Team has experience with AutoDesk Construction Cloud where a plan is uploaded and automatically parsed into sheets. When creating RFI’s, submittals, and change requests then then link to an individual sheet or sheets.With Acumatica it seems that we would need to use an external program to export the proper plan pages, potentially add markup and then link that new drawing log to the issue. Is my understanding correct or am I missing how the drawing logs should be used?

How to account for third party Equipment (Accrual)

Whe you have rental machine that you collect time card for in the system. Upon releasing this time card you get an expense that will update my budget line meaning that I will clear my accrued liability with the supplier Invoice. The reconciliation seems cumbersome due to the number of PM transactions created by the Equipment time cards. Is there a work around to this or anyone with a good idea on report?. Project Transaction - Time card Time Card.GL Transaction. Receiving Invoice at Month end reconciliation required.- Cheking the project transaction and referencing to time cards. If the balance of the Time cards and bill are not the same adjust via the Time card correct Function.

Splitting expense receipts automatically by customer

At present, in order to generate expense claims from expense receipts, the claim option on the expense receipts form, automatically groups receipts by customer if the expense receipt is linked to a project/ service order or if a customer is selected. This results in an employee having different claims for each customer. I would like to get your thoughts on this topic. Your responses will greatly help our engineering team in building the right solution.Would you rather prefer if receipts were grouped by employee only irrespective of customer? Is there any other criteria by which you would like to group expense receipts automatically ? How often do you use the automatic claim option to group expense receipts ? If you are currently grouping receipts by customer, how does this benefit you? What don’t you like about the automatic grouping of expense receipts by customer?Thank you!

Additional approvers in approval map for specific situation

I have a situation where our approval map for Vendor Invoices uses the Project Manager in the related project and when the PM is a specific person, we want to allow others (coordinators) to approve the invoices due to the large number of invoices. We don’t, however, want to allow the coordinators to approve invoices for other PMs. I’ve tried “Employees by Filter” but the coordinators appear for every invoice. This is my set up for the Coordinators:I’ve also tried Approval and Approver ID rather than Employee and Employee Name. This is the approval map for PMs which works correctly:Is it possible to restrict the Coordinator Approval step to only the invoices with the specific PM specified? Thank you!

After Saving, Project Task ID Shows Old Values under Revenue Budget Tab

Hi Experts,I would greatly appreciate any assistance in resolving this issue.I've developed a selector to display project tasks with a task type of cost. Additionally, I've created a custom attribute to mimic the functionality of the Revenue task field on the Cost budget tab, as we require the same functionality.I can successfully retrieve the task IDs into the selector. However, upon hitting save, the selector displays values like '-2147483646' or '-2147483647,' which I believe represent old values, considering that the Project task ID is a key field utilizing PXDBIdentity to store the unique task ID.I have attached my customization package for your review.(Note: To view the task type field on the project screen, we need to enable the construction feature from the disabled screens. Working on 23R1)Thank you in Advanced!!!

Warnings are lost once an exception is thrown

Hi,My requirement is to catch the warning raised by Acumatica on the Purchase Order Screen for Order Total field. If there is a warning message regarding budget exceeded, I need to convert it to an error and stop the Release From Hold Action.I implemented the code but it works only one time the button is clicked, the next time the button is clicked, since the warnings from Acumatica are gone, the code does not work.Steps:On Page load, there is a warning on the field Order total (The project budget is exceeded. For details, check warnings in the document lines.) Click Release from Hold button, error message is shown and the field is highlighted - Working as expected. Warning messages are lost because I raised exception. T&M billing VS Service order billing / Support Case billing

If i have a project with a task with a billing rule T&M. For some reason, sometime i do a support case which i set time activity billable, and i bill it via Support case invoicingFor some reason, sometime i do a Service Management Appointment which i set time activity billable, and i bill it via Service Management invoicing. Does the system is done to handle that in a global behavior in order to dont bill the transaction twice with the T&M?EX1: set in the project transaction Billed to true when we bill a Support case or a Service order?EX2: set in the project transaction Billable to False when we bill a Support case or a Service order?I hope it’s clear, let me know if you have questionThanks!

Easy Purchase Requisition or raise PO from a field team (AG, Construction or Industrial type user)

I am looking for an easy to use method to raise a Purchase Req or PO for a field team. Use would be in a role like a Foreman, Super or other field team member that is not going to be thinking in terms (or have knowledge of) of any of the accounting items that go on a regular PO. So, take out of all the accounting thinking, that has to come later in the process. The field team member needs to get a part to fix something, i.e. equipment, tool, etc., for the job to continue to do the work. Open to ideas with third-party solutions or a way to modify the current requisition process that takes out all the technical accounting knowledge that will never be adopted in the field. Thank you.

Use Tax - purchase in different jurisdiction than where the Construction Project is

Does anyone have a solution for the following scenario:For a construction job, purchase materials in one state, for use on a project in another state. The difference between the sales tax on the Vendor Invoice on the purchase and the Use Tax due to the jurisdiction of the project must be submitted to the jurisdiction of the project. How to have the system identify that this needs to be done and calculate that use tax due in another jurisdiction. Thanks

Revenue Projections for Time and Material Projects

Hi there,We use the construction module and have started to use Cost Projections to determine our cost at completion, which works well on fixed price projects billed as Progress Billings. I am wondering Acumatica has the ability to Auto-Project Revenue based on the projects billing rule and cost projections (similar to the Auto-Budget Revenue feature)?Since I have not been able to find this feature, I am seeking a best practice to project revenue based on the cost projection feature in Acumatica. Any thoughts would be appreciated.

Trying to mark a Sales quote as converted and am getting validation error in the PX.Objects.CR.QuoteMaint graph.

We are trying to mark a sales quote as converted but when attempting to do so, we are getting the following errer “Cannot save changes to the database and execute the markAsConverted action due to a validation error in the PX.Objects.CR.QuoteMaint graph.”The Opportunity has two sales quotes. This one is not marked as the primary quote. Does anybody know how to get resolve this?

Export scenario export Excel problem after first export

Hi!In 2021R2, we are building a GI based, Excel export scenario, but can only get a clean Excel file on the first run with a new data provider. When we open the subsequent run files, Excel says it found a problem with some content in the file and can repair the file ending with the message “Repaired Records: Cell information from /xl/worksheets/sheet1.xml part” and the following log file. However, we need this to run unattended as part of automation with our UKG Ready timekeeping system. Project Quote - Add contact of a Branch Employee

Hi, in a project quote for example(PM304500) , but not only in this form, we have in the header the CONTACT field. I want in this case to do a Project Quote for an Employee of a another branch.So i choose the correct Business Account(Interco), and i see only the created contact for this branch(like AP contact and AR contact). How to select an employee? I know there is a BA for each employee, i want to be able to select them. I don’t want to recreate each of them in contact as in duplicate of the employee. Thanks

Excel import for Expense claims - Per-diems (Non-Stock)

We recently upgraded to 2023R1 and after we upgraded our excel uploads for Per-diems are not working like they did. Before the upgrade we would take an excel and upload it (pictured below) and just put in all the information like project, Qty, description, expense item, etc.. pretty much all except the “unit cost” We would have the Non-Stoock item (EX: PERDIEM- LODGING) default to the Cost associated in Acumatica.For some reason instead of the system understanding the “cost” it is defaulting the value to $0 and not auto populating. Is anyone else having this issue and if you are is there an easy solution? Or is the solution just adding the Unit cost on the spreadsheet and not having the system be the source of record for that non-stock item?Side note: If we don’t use the upload the system does default the Unit Cost based on the Expense item Excel TemplateNon-Stock Item with Cost

Last cost price to populate on project quote

Hi! When I create a project quote, it is pulling from AVG cost from my inventory ID instead of Last Cost. This is a problem because1- if I’ve never bought the item before, there is no average and there for the system puts in a 0.002 - The Last Cost is my updated price which is the price I need when vendors change pricing.I am currently tracking inventory via FIFO (and testing specific).-Added a few screen shots for reference.Thanks for your help!
